  1. How Workflow Management enhancedour Fujitsu Operations Maria Monteverde (presenter - Fujitsu) Pierre Beaulieu (co-presenter - DynaFlow) Monday, May 16th, 2005

  2. Session abstract Operating Baan since 1996, we, at Fujitsu Transaction Solutions, are always on the lookout for process improvement & cost reduction to keep us competitive in our global market. In line with this objective, we implemented Workflow Management to enable automation of targeted processes. Our purchase requisitioning process, done before via paper, is now fully web-enabled with the help of the Baan compliant EZ-Workflow engine. In addition to dramatically improving our approval cycle time, we can now monitor in real-time each requisition and approvers can collaborate from any location via their online user Worklist. Come hear how Workflow Execution significantly enhanced our Baan and non-Baan operations at Fujitsu.

  8. Selection Project Direction “With its key role in our ability to remain a market leader, our Workflow infrastructure needs to be powerful, flexible and easy to operate in our cross-functional and cross-applications environment. The selection process was therefore done in a very comprehensive manner”. Gene Senecal, CIO

  9. Fujitsu Key Workflow Requirements • The Workflow solution needed to be fully compliant with SSA Baan and DEM (to be able to leverage the significant Baan investment made by Fujitsu Transaction Solutions Inc. since 1996) • The chosen solution needed to deliver a true web-based integration platform, to enable Business Process Automation across the company, B2B/B2C partners, global processes and various applications and systems including, but not limited to, Baan. • The Workflow component needed to be embedded into a broad BPM business solution that was able to address Process modeling, BPR analysis & continuous improvement, and corporate wide Knowledge Management. • The implementation of the solution could not exceed two months and would require minimum use of Fujitsu resources

  15. Operational Benefits for Fujitsu • significant decrease in the cycle-time duration of the approval process, by replacing time-consuming manual tasks with electronic notifications and by using automated rules-based routing, • increased operational monitoring as the real-time status of all transactions are available online for (authorized) employees and managers, • greater consistency/accuracy/accountability of the process steps execution, insuring more complete compliance with internal/external regulations (SOX and others) and reduced business risks, • low cost of ownership and a rapid deployment by a centralized Web-based architecture providing zero-client access for all process Intranet/Extranet collaborators.

  16. EZ-Workflow Benefits Summary Chart Benefits Manual approval With EZ-Workflow Benefits:Quality / Speed / Cost

  17. Commercial Benefits “The EZ-Workflow cost of ownership was also significantly lower than other Workflow solutions that were investigated, mainly because: • of its rapid implementation capability • and to the fact that EZ-Workflow allows unlimited users to collaborate without extra cost to Fujitsu”. Al Viti, Purchasing Manager

  18. EZ-Workflow Key Facts • Fully web-based User Worklist • Compliant to ALL versions of SSA Baan (Triton, IVa,b,c , ERP-5, LN, etc…) • Does NOT requires Webtop, Worktop, not any special Baan Services Packs • Operational in cross-functional & cross-applications (Baan / non-Baan processes • Allows data + triggering integrations with Baan and other applications • Operates with or without the use of Baan DEM • Allows unlimited “Executors” to collaborate without cost (Intranet + Extranet) • Workflow Routes & Rules configuration can be done by “Business” people • Implemented in less than 2 months

  19. Project Assessment & Future “Because of the success we had with the first phase of deployment, we are investigating other workflow deployments that will maximize the EZ-Workflow benefits in other departments. I can easily foresee a much broader deployment of EZ-Workflow within Fujitsu, where processes will be greatly improved by its rich feature set and flexible framework". __________ “DynaFlow’s 2005a version is a reflection of their attention to the needs of business. They have been responsive to our requests for key functional requirements, such as improved ad hoc execution and eForms.  This new version is also compliant with Active Directory, keeping in sync with our technical infrastructure. Gene Senecal, Vice President & CIO
