  1. Unit 4 Explaining Processes Part A Pre-listening task Part B How to use an OHP Part C How to send an e-mail Part D Layout of a letter Part E Additional listening task

  2. Study focus: • This unit aims to present and practise English as it is used both in the explanation of modern everyday machines and the processes they carry out.

  3. Pre-listening task (P36-37) Questions for discussion: • Can you explain to someone in simple English how to operate a machine (say, an OHP) or perform a task? • What difficulties would you have in explaining the procedure for operating modern office equipment (computer, for example) in English? • How can we make our presentation more effective?

  4. What makes an OHP? (P37) • Mirror • Projection head • Lens • Mast • Focus knob • Stage glass • Base • Power switch • Power cord

  5. Expressions used when explaining a procedure: • To explain the order in which certain things are done: • First of all… • The next thing you have to do is… • And then finally…

  6. To add a further point: • Make sure you… • Oh, and by the way, don’t forget to… • Oh, and be careful not to…

  7. To check that the other person is following you, or has understood: • OK, so is that clear? • Does that seem to make sense? • So there we are. Do you have any questions?

  8. If you want to ask someone to explain something to you, you can say: • Excuse me, could you show me how to…? • I wonder if you could tell me how this works?

  9. If you haven’t understood the explanation, or if you can’t follow the instructions, or if you want to check that you’ve understood so far, you can say: • I’m sorry, I didn’t quite follow you there. • I’m sorry, what did you say that part was called?

  10. When you think you’ve understood, you can say: • If I’ve understood right… • So is the basic idea that…? • You mean…

  11. Expressions used when giving a presentation • Starting off • Good morning, ladies and gentlemen, • Good morning, everyone • Say what you’re going to say • What I’m going to talk about is • I’m going to tell you about…

  12. Structuring the talk • Right, first of all… • Finally… • Introducing your fellow-presenter • Now I’d like to hand over to… • She’s going to tell you about • Say what you’ve said • So, what are the important points I’ve made? Well, first… • So, to summarize

  13. At the end, ask for questions • Thank you very much for listening. Now, do you have any questions? • If you have any questions, I’m pleased to answer them. • Answering difficult questions • I need to think about that one. Could we come back to it later? • I don’t really know the answer to that. Could we discuss it later?

  14. Key to Part B • Ex.1 Step 1. Put the OHP on the table. Step 2. Press the buttons in and lift this part up until it snaps into place. Step 3. Turn the OHP round so the head is facing towards the screen or a white wall. Step 4. Plug it in. Step 5. Switch it on. Step 6. Place the transparency on the stage. Step 7. Move the flap up or down to raise or lower the image. Step 8. Turn the wheel to make the image sharp.

  15. Ex.2 • Place the OHP about 2 meters from wall or screen. • A screen works better than a wall. • Leave the OPH switched on when using it and place a piece of paper over the glass.

  16. Key to Part C • In the address book or contact list. • “CCs” stands for copies of a message. When you want other people to get copies of the same e-mail message, you send them “CCs”. • You can copy sentences and paste them in other places. • You can run the spell checker. • You double-click on the word and type the new word over it.
