  4. Resourcing Resourcing community groups is like planning a dinner • You need to step back and assess the resources you already have • Then think about what things you need • Then think about how to go and get them

  13. Sponsorship plans must… • Set sales targets • Define corporate and brand objectives. • Identify promotional extensions. • Accurately predict below line costs • Detail person hours and costs. • Detail review and evaluation methods • Contain a detailed timeline

  14. A Guide to Writing a Plan • Introduction – include aims and objectives. • Situational analysis–event history, sponsors. • Objectives • Target audience. • Action List • Budget and human resources. • Evaluation. • Accurate budgeting.

  15. Managing Your Sponsor • Sponsor servicing. • Adopt a “can do” attitude. • What does the sponsor expect? • Don’t oversell benefits. • Try and over deliver benefits.

Your Obligations to Your Sponsor • To deliver all benefits offered. • Be genuinely committed to the sponsorship. • Service the sponsor to the best of your ability • Protect your sponsors rights • Promote your sponsors wherever possible • Always acknowledge your sponsors • Introduce new ideas.

  18. Your Sponsor’s Obligations to You • To provide payment or contra as agreed. • Be genuinely committed to the sponsorship. • To look after your interests where possible. • To commit below line funds

  19. Sponsorship Management Tips • Clearly define what the sponsor wants. • Nominate one person. • Seek feedback. • Involve your sponsor and their staff. • Sponsors rule – OK! • You want your sponsors to feel part of your organisation and an important part of your team.

  21. Developing a Sponsorship Policy • If you are sourcing sponsorship you must have a sponsorship policy. A) Set the rules for entering into sponsorships. B) Uniform approach C) Accountability and responsibility D) Must apply to all departments.

  22. Sponsorship Agreement • You should have a sponsorship agreement for all sponsorships. • Sets out all benefits offered. • Must be signed by both parties.

  23. Evaluation Reports • You must provide your sponsors with a report. • Must include: • participation rates • spectator numbers • media exposure, feedback forms • newsletters and any promotional tools • market research results • objectives and results gained.

  25. Ask yourself these important questions • Throughout the sponsorship did you review and continue to ensure the sponsors were receiving value? • Are you delivering and matching the expectations of the sponsor? • Are you a valued business partner?

  27. Attracting grants Organisations that are successful in attracting grants usually… • Prepare a yearly calendar of closing dates for all funding sources • Request application forms well before the closing date • Prepare the application well in advance

  28. Attracting grants (cont) • Pay careful attention to the details required and presentation quality • Clearly outline the goals and objectives of the project • Describe why the project is needed and support this with facts and figures • Detail the methods used to conduct the project
