Chapter Membership • 2008-2009 Chapter President: Not yet in existence • City, State: Grand Junction, CO (Western Colorado) • # of Members – Beginning of Year: 0 • Current #: 27! • Chapter Size Category: Small • Membership Goal for 2008-09: 20 to start the Chapter • Recruiting and Contacting – methods: Email, local newspapers, websites, including Information Zen; 09/08 Seminar; local & state organizations like CMCA, CML, WCHRA; 04/09 ERM presentation to local IAAP Chapter; 05/09 Seminar • Chapter volunteers – recruiting, involvement (activities): ? • Scheduled educational meetings: To be determined • Communications with members: Email, website, phone Elevating Leadership in the Rocky Mountains – ARMA 2009 – Western Colorado Chapter Report

Board of Directors • Five elected positions • President, VP/Pres Elect, Secretary, Treasurer, andMember-at-Large • Hope to hold perhaps 3-4 meetings throughout the year, starting with ½ day retreat scheduled 07/25 • Challenges: Geographically dispersed directors (currently in three towns, within 75 miles of each other) • Board Transition of Members: Not yet required • Recruiting/Succession planning: Active recruiting throughout the year for replacement directors Elevating Leadership in the Rocky Mountains – ARMA 2009 – Western Colorado Chapter Report

September 2008 – Seminar & Meeting • “Records in the Rockies” held at local hotel/restaurant in Grand Junction • Friday, September 5, 2008, from 1 to 5pm • ERM presentation followed by ARMA organizational meeting • 31 registrants; 29 attendees including 5 walk-ins(12 actually joined Chapter) • Topic: Intro to Electronic Records Mgmt - Laser fiche • Speaker: Russ Haddock, MCCi • Comments: MCCi handled registration process, which worked well; program was well received, though not everyone stayed for org. meeting; asked for $10 contribution for Mexican-theme food & drinks @ break; lost $75 Elevating Leadership in the Rocky Mountains – ARMA 2009 – Western Colorado Chapter Report

May 2009 – Meeting & Seminar • Friday, May 15, 2009, 12noon – 4:30pm, in Grand Junction • Luncheon meeting followed by seminar • 21 members + 5 guests; 5 no-showsSheila & Trevor were able to attend, as well as several folks from the Front Range • Topic: Disaster Preparedness/Recovery/Remediation • Speaker: 4 Colorado records managers + State Archivist • Comments: Great panelists on recent records disasters in Colorado; Archivist was a good draw since we rarely see him on the Western Slope; Mile High/Denver Chapter covered the entire cost of the facility and luncheon! Special Projects – Board of Directors • Most of the elected Board members were also the Steering Committee for the new Chapter – so that was our primary emphasis this past year! • Chapter website established: www.wcoarma.webs.com • Board group site established: www.wcoarma.groupsite.com includes Chapter formation documents • Chapter bank account opened Elevating Leadership in the Rocky Mountains – ARMA 2009 – Western Colorado Chapter Report

Good, Challenging & Different • Good: Past efforts to start chapter ensured people were primed to finally make it happen; opening meeting was well attended, including Sheila & Trevor; great enthusiasm from Front Range colleagues; tremendous financial support from sister chapters in Colorado, Region, and International • Challenging: Economy made it hard to start new Chapter, and we lost some of our momentum in late 2008; candidate for Treasurer had to be replaced; unpredictable weather during winter months made it hard to plan meetings (some members must travel 1-2 hours to get to Grand Junction); most members are from the public sector, with fewer corporate resources available to the Chapter (conference calling, meeting technology); most members have not yet paid Chapter dues • Different next time: Should have gotten folks more committed to joining ARMA when we first met last September Elevating Leadership in the Rocky Mountains – ARMA 2009 – Western Colorado Chapter Report

Conclusion In the coming months, we plan to: • Finalize & publish program schedule* at least two formal chapter meetings during mild(er) months * one or more locations other than Grand Junction * combine with RIM presentations or tours * half or whole day seminar in late Spring • Encourage members to complete RIM Self-Assessment • Board members to complete Leadership Academy • Continue to expand website, possibly with Chapter newsletter Elevating Leadership in the Rocky Mountains – ARMA 2009 – Western Colorado Chapter Report
