  1. How to nominate members for Academia Europaea and some important functions of the www.ae-info.org server Presentation by Hermann Maurer,Graz/ Austria hmaurer@iicm.edu Paris, September 20, 2011

  2. Nominations are very simple: Download the AE-Nomination Form (a PDF form) from http://www.ae-info.org/ae/Acad_Main/Nominations (the page shown below) and follow the rules described there.

  3. How to find this page http://www.ae-info.org/ae/Acad_Main/Nominations ? You have to remember eitherwww.ae-info.org (part shown below), the main page of the AE-INFO server, where an entry directs you there. or you have to remember www.acadeuro.orgwhich has a button leading to the same page.

  4. How do you remember www.ae-info.org or www.acadeuro.com ? Use www.google.com and search for either: Academia Europaea or acadeuro or The Academy of Europe or possibly Academy of Europe or ae-info.org …all lead you to one of the pages mentioned. Please do not search for European Academy !!! We owe it to the founders that they have protected both „Academia Europaea“ and „The Academy of Europe“ … but European Academy as such is an unprotected term.

  5. Once you have found http://www.ae-info.org/ae/Acad_Main/Nominations follow the rules described there. I. e. first click at AE NominationForm 2012.

  6. You will get a PDF form whose first part is shown below. Before filling out anything please save that form under e.g. the surname of your candidate on your computer. After filling out some fields, you can always interrupt, but don‘t forget to save what you have done! Click here

After filling out some fields, you can always interrupt, but don‘t forget to save what you have done! Now choose the section you want (you may have to use the scroll-bar for this) and click on it. If I choose e.g. Informatics this is what I get:

  9. You will get a PDF form whose first part is shown below. Before filling out anything please save that form under e.g. the surname of your candidate on your computer. After filling out some fields, you can always interrupt, but don‘t forget to save what you have done!

  10. (Note: So far we have only specified the section of the candidate, so let us fill out the page below, a sample shown on next page)

  11. (an example how to fill out the page)

  12. sample! Obligatory Not obligatory sample! 1.12 Honours and Awards (Only mention major awards; max. 20; do not mention best paper awards or fellowships that one gets if one just pays a membership fee; list one per line, preceded by the year when award was obtained, last awards first). The awards should include for example, election to National Academies (category of membership/fellowship); major prizes (not normal research grants) and similar honours that recognise academic performance; honorary degrees. Major ERC awards can be cited. Note: I have not filled in any awards in this sample (they are not obligatory, but prestigous awards strengthen the case of the nominee of course very much!)

  13. Don‘t forget this! Webpage if rich in information is OK, HQ and AE-INFO and evaluators prefer a coherent short CV

  14. This is the most essential part of the form (in addition to the necessary rudimentary personal information) Optional

  15. This is a simplified authorization form. Note that two ordinary members must propose a candidate (this exludes foreign members) and one must be in a country different from the one of the candidate.

  16. The further procedure is explained at the bottom of the nomination form: Please make sure to store the form with the information you have filled out on your computer! Once the nominators have filled out all obligatory fields (those with an *)and are satisfied with the nomination, the first nominator should mail it as attachment to the address nominations@ae-info.org When the mail arrives, the forms are checked by a program for completeness. If obligatory fields are missing, or are too short or too long, the sender will receive a list of items that still have to be changed. If the form is complete, it will be automatically (a) sent to the section chair and (b) it will be automatically uploaded into http://www.ae-info.org/ae/Acad_Main/Forums/Nominations to which authorized members have access.

  17. (Continued…) If a nomination also concerns another section, let the section chair know: (s)he can communicate with the chair of the other section concerned. If, after consultation, it is decided to shift the nomination from one section to another section, office@ae-info.org should be contacted to carry out this shift. Nominations can be submitted using above form between Oct.1, 2011 and April 30, 2012. Ranked lists of all candidates in their section have to be submitted to the Chair of the Nomination Committee and the Executive Secretary by June 15, 2012. Access to a nomination is authorized for: ─ the two nominators ─ all section committee members of the section involved ─ all nomination committee members, board members, the president and the executive secretary after May 1, 2012. All nominations can be printed out as are in the new system, but you can also use the button „Show printer-friendly version“. PDFs of all nominations are sent to HQ first half of May 2012 if HQ wants to keep up this procedure.

  18. How to access a nomination: Log in (see the often mentioned page http://www.ae-info.org/ae/Acad_Main/Nominations if you have forgottten how to do so). Now go to the main page www.ae-info.org . Click at the buttom „Forums“. On the new page appearing click at „Nominations“ (left lower corner). Next, select your section. You will see the list of candidates, but you can access their nomination dossiers only if authorized, as explained on the previous page. If authorized, the dossier can be printed out (recommendation: click at the „Show printer-friendly version“ button first) but note that nominations can change till April 30, 2012.

  19. All that has been explained above can also be found on the page mentioned at the very beginning: http://www.ae-info.org/ae/Acad_Main/Nominations Let us now look at some functions offered by www.ae-info.org as shown on the next page.

  41. Every section has this button that leads to an alphabetic list of activities in this section… If members have provided this info on their nomination form. Hence it is obligatory to add at least three words describing one‘s activity on new nomination form
