  2. ED 159 Nonpublic School Report http://www.csde.state.ct.us/Public/ED159/Login.aspx

  3. STEP 1 Your User ID is the facility code. The facility codes of all schools are listed in the package. If you are not a new school, your password is the same as last year. If your school is new this year, the default password is last five digits of the USER ID.

  4. STEP 2 If this is the first time logging in, you will need to change the default password. Enter the default password in the Old Password field.

  5. Note: You can not use the same default password.

  6. STEP 3 Confirm your school’s organization name, address and grades in service. If the information is correct, click ‘Confirm’.

  7. If not, click close and contact Yvonne Dillon-Terry at Yvonne.Dillon-Terry@ct.gov or 860-713-6861, to update current school information.

  8. STEP 4 Verify your school’s organization type. The ‘not-for-profit’ status is the default. If it is correct, click ‘Continue’. If not, click ‘For Profit’ before clicking ‘Close’.

  9. STEP 5 Staff and ELL students information should be entered (it is required) .

  10. DEFINITIONS

  11. Please follow the ELL’s criteria before entering the information.

  12. English Language Learner: Students in your school, who are English language learners in Grades K-12. Please exclude Pre-K students in this count. An English Language learner is determined by the assessments: (a) on standardized English proficiency tests; (b) on an oral interview conducted in English; (c) in academic subject areas taught in English, as demonstrated by indicators such as report cards and test scores.

  13. Attention: • All English Language Learnerstudents have to be properly identified by the assessments stated in the previous slide. • The identification process has to be valid.  • If a school does not wish to obtain ELL grant from local public school district, DO not report ELLs on the ED159.

  14. Once data entered, click ‘Save and Go to Enrollment’.

  15. STEP 6 Enter student enrollment by resident town and grade. Once finish entering the data, click ‘Done and Verify Data’ .

  16. Attention: • Report all students by their resident town and by grade as of October 1. • Report all international students in the ‘out-of-state’. • Report students from a state agency or institution in the ‘state-agency’. • Report special education students by his/her age-appropriate grade. • Report students retained after Grade 12 as Grade 12. • Do not duplicate resident town records.

  18. Data Checking before certifying: • Two reports • Year to Year Change Report: • Review questionable data comparing with data entered last year. • Staff and Enrollment Report: • Review all data entered this year.

Year to Year Change Report • Comparing the current year to the previous year and lists notable changes in your school's population or Non Profit status, and In Town and In State percentage changes. This report only prints out the questionable data. • Criteria: • Enrollment by Resident Town • 1.       counts between 2011 and 2012 is > 5 or < 5 and change is > +15% or < -15%.2.       2012 year count is <= 5 and change is > +50% or < -50%.3.       2011 count was 0 and 2012 count is not equal to 0.4.       2012 count is 0 and 2011 count was not 0. • 5. The change of ELL students between 2011 and 2012 is >15% or <15%. • Note: Do not report students in the town where the school is located.

  21. II. Organizational Type • Current Organizational Status is different than previous year's status. • (K-12) Enrollment In Town or Out-of Town/In CT state or out of Sate • In town % is <50% or in state % is <50%. Data Error

  22. Potential Data Errors from the sample in previous two slides: 1. In Seymour resident town reported 18 in 2012 and 25 in 2011, the change is > 15%. 2. In Oxford resident town reported 3 in 2012 and 8 2011-2012, the change is > 50%. 3. In Waterbury resident town reported 0 in 2011 and 5 in 2012. 4. In Beacon Falls resident town reported 10 in 2011 and 0 in 2012. 5. The ELL students reported 40 in 2012 and 20 in 2011, the change is >50%. 6. There is no change from ‘Not-for-Profit’ status between 2011 and 2012. 7. The students reported from the town of school is <50% than from out of town. 8. The students reported from Connecticut is <50% than from out of Connecticut.

  23. Once data is verified, click ‘I have verified that the information reported above is correct’ and then ‘Done’ to complete or ‘Change Data’ to edit.

  24. Again use both Scroll bars to View the entire Report, and click “certify” or click “change data”.

  25. Click ‘Staff’ or ‘Enrollment’ in Data Entry section, to edit data if you need to make changes.

  26. Click ‘Staff and Enrollment Summary’ to check ED159 report

  27. Reviewing all data in ‘ED159 Staff and Enrollment Summary’ 1. Are all school information correctly updated? 3. Are the staff data correctly entered? 4. Are all ELL students reported correctly ? 5. Are all students reported by their resident towns as October 1? 6. Are all international students entered in the out-of-state record? 7. Does your school have grade 12 graduates? 8. Is your school a ‘Not-for-Profit’ organization?

  28. Click the Save/Print the ED159 report. You may click the down arrow button next to the Save button to save as a “word”, “Excel”, & PDF Document

  29. Click ‘Certify’ to complete. It is required in order to complete the procedure.
