  1. Online, Web-Based Data Collection System February, 2011 Utah State Pawn Database

  2. Background • Pawn shops must upload transaction data to the Statewide Pawn Records Database. • A limited number of file formats are accepted for uploading Pawn transaction data. • For those shops that can’t provide data in one of the standard formats, an Access-based data entry system was made available to collect transaction data and upload to the database.

  3. Issues with Access-based System • Requires Microsoft Access license. • Can only be used on one computer. • Does not provide editing/cross checking of data. • Requires files to be uploaded manually. • Files could contain errors or missing data.

  4. Web-Based Data Collection System • A new web-based data collection system has been created to replace the Access-based system. • Eventually everyone that uses the Access-based system will be asked to use the Web-based system.

  5. Benefits of Web-based System • Doesn’t require Microsoft Access License. • Can be run from any computer with Internet access. • Can be run from multiple computers. • Data is verified for accuracy before being accepted. • Data selections are contained in drop-down lists and menus.

  28. Add additional Tickets Add additional tickets and items by repeating the process of adding the ticket information (using the Ticket Form) and adding items to the ticket (using the Items Form).

  32. Submit Tickets to Database Repeat using the Item Form to add each of the remaining items on the ticket.

  34. Tickets Submitted • After being submitted to the Database, the tickets submitted are no longer available for editing. • The Summary Page lists the last 10 submissions.

Summary • The Web-based data collection system will take the place of the Microsoft Access-based system. • Everyone who currently uses the Access-based system will be asked to use the Web-based system. • Shops that use inventory systems that extract and upload transaction data may still continue to do so.
