  1. PeopleSoft Talent Acquisition Manager (TAM) How to Create a Job Opening Presented by the Office of Human Resources

  2. Creating a Job Opening You have a job opening that needs to be posted right away. Now what? Who do you contact?

  3. First Step – Obtain Budget Approval Prior to creating the job opening in PeopleSoft TAM, contact the HR Employment Manager to start the recruitment process and request budget approval to post the position. Visit the HR Employment Website to view the Employment Process Manual and other employment related documents at: http://www.seminolestate.edu/hr/employment/

  5. How to Create a Job Opening in PeopleSoft TAM Step 1 Go to My Seminole State and login with your network username and password. Step 2 From the main Enterprise menu; select Human Resources (HCM). Step 3 From the Oracle menu select Recruiting.

  7. Select Recruiting Select the Recruiting link

  8. Create New Job Opening Step 4 Click on the Create New Job Opening link located under Recruiting on the Search Menu. Select Create New Job Opening

  9. Select the Job Classification Step 5 Select the Job Classification from the Job Family drop down menu Change the Job Opening Type according to the job details. You are provided with two options: -Continuous Requisition for Adjunct and Pool positions (Unlimited). -Standard Requisition for all positions with a closing date (Limited). Defaults to Standard Select the Job Family

Enter the Position Number Step 6 You can either type in the Position Number sent to you in the email by the Budget Coordinator Analyst or the HRIS Analyst for part-time positions, or click on the pull down menu and choose the position title. Once you’ve entered the position number, verify that the correct title is assigned to the position. Click Continue to go to the Job Opening page. Position Number Click continue

  11. Select Target Openings to Fill Step 7 On Job Details Tab • Select the Opening to Fill • from the drop down menu: • -Unlimited for pool positions – such as Adjunct or student positions • -Limited for all other positions Select Openings to fill and target openings

Locate “Date Authorized” Step 8 • Locate the Date Authorized section in the middle of the page and select today’s date by clicking on the calendar widget. • Note: If you try to Save As Draft prior to entering the names of the HR Recruiting team, an error message will appear. Once the names of the HR Recruiters are entered you can select “Save as Draft”. Date Authorized

  13. Qualifications – Highest Degree Level Step 9 Click on the Qualifications link and select the correct degree requirement for the position from the drop down list. Qualifications Link Select degree from drop down menu

  14. Hiring Team • Step 10 • Click on the Hiring Team link to add the names of the HR Department Recruiters. Click Add Recruiters each time to add the names of the HR Recruiters as listed below. Use Magnifying glass to select • each of the following names: • HR Recruiters • Beverly Smith – Primary • Jennifer Holcomb • Aimmy DeJesus • Anita Simpson Hiring Team Link Save as Draft Add Recruiter Link

  15. ERROR MESSAGE If you try to save the job opening as a draft before entering the names of the HR Recruiters on the Hiring link, you will receive an error message as shown below. Once you enter the names of the HR Recruiters, you will be able to save the job opening as a draft.

  16. Hiring Team – continued Step 11 On the Hiring Team link , click on the Add Hiring Managers link and type in the name of the hiring manager and click the magnifying glass to select the name of the Hiring Manager. Select Add Hiring Managers

Hiring Team – continued Step 12 On the Hiring Team link , click on Add Interviewers to add the names of the Interviewersand the names of Interested Parties Click the Magnifying Glass after entering each name to select the person. Note: The Name of the Compensation Analyst should be added as an Interested Party for all job openings. Magnifying glass Add Names of Interviewers Add Names of Interested Parties

  18. Screening Step 13 Click on the Screening link to populate screening questions which will appear on the application and applicant questionnaire. Select “Load from Question Sets” Screening Link Select Load from Question Sets

  19. Screening - continued Step 14 Click on Load from Question Sets. You are provided with two options: -5001 for Non-Instructional Positions -5002 for Instructional Positions Non-Instructional Positions Instructional Positions

  20. Screening – continued Step 15 Scroll down the page and navigate to Add Screening Options and click to select questions to appear on the applicant questionnaire. Select SSC Screening

  21. Screening – continued Step 16 Scroll down the page and navigate to the set of questions under Screening Requirements. Check each of the two boxes for Screening Questions for the Application Questionnaire. Click OK at the bottom of the page. Click in each of the boxes next to Edit Details all the way to the bottom of the page

  22. Posting Details - Add Job Posting Step 17 Click on Posting Details link Click on Add Job Posting link to create the position announcement. Posting Details Select Add Job Posting

Posting Details Step 18 Select Add Posting Description Under the sub-heading Job Descriptions for Visible select one of the following: • -Internal Only for internal applicants only (current Seminole State College employees) • -Internal and External for both internal and external applicants Note: You will need to add the “Visible” External Only, Internal Only or External to each of the six posting descriptions. Select Internal and External or Internal Only

For Description Type Select each of the items listed below one at a time, we recommend that you use the same order that is provided on the drop down menu. • Conditions of Employment • Equal Employment Opportunity • How to Apply • Other Information • Responsibilities • Salary Information Click Description Type Click Description ID Again

  25. Posting Details -continued • Step 19 • Click Add Posting Description • For Description Typeselect Conditions of Employment from the drop down menu. • Next, for Description ID, select Conditions of Employmentagain. Click on Conditions of Employment

  26. Posting Details -continued • Step 20 • For Description Typeselect Equal Opportunity Employer from the drop down menu. • Next, for Description ID, select Equal Opportunity Employer again. Click on Equal Opportunity Employer from drop down menu

  27. Posting Details -continued • Step 21 • For Description TypeselectHow to Apply from the drop down menu. • Next, for Description ID, select How to Apply again. Click on How to Apply from drop down menu

  28. Posting Details -continued • Step 22 • For Description Typeselect Other Information from the drop down menu. • Next, for Description ID, select Other Information again. Select Other Information from drop down menu

Posting Details -continued • Step 23 • For Description Typeselect Responsibilities from the drop down menu. • Next, for Description ID, select Responsibilities again. • Please note: Job descriptions for adjunct and faculty positions do not self populate under the Description ID for Responsibilities”. You will need to cut and past the description into the posting. Select Responsibilities from drop down menu

  30. Posting Details for Salary -continued Step 24 • For Description Type select Salary Information from the drop down menu. • Next, for Description ID, select SalaryInformation again. Please note: Salary information should be manually inputted for all non-faculty positions. The salary is listed in the email sent by the Business Office for full-time positions, or you can find the salary listed in the Salary Schedule for all other positions. Click on the Salary Information from the drop down menu Manually type in the salary amount.

Posting Details Salary -continued • Step 25 • Manually type in the base annual salary amount for full-time positions and the hourly rate for part-time positions. • For faculty positions the following statement should be added in lieu of the salary amount: • Salary is according to the faculty salary schedule: • http://www.seminolestate.edu/hr/compensation/salary-schedules Manually Type in the Amount

  34. Posting Details – continued Page 3 of Sample job posting External Internal Closing Dates Click here to Preview Please note: The closing date is the day after the job opening is removed from the website.

  35. Posting Details -continued Step 26 Under Job Posting Destination you will need to add two separate destinations if you are posting the job internally and externally. You will only need one destination for internal postings. Under Destination select “Internet” from the drop down menu. Under “Posting Type” Select “External” from the drop down menu Under Relative Open Date select Approve Date Select the “Remove Date” which is the closing date for both the external and internal entry. If this is a pool position, you do not need to indicate a closing date. Select Preview to view the job opening. External Approve Date Destination Remove Date Internet Internal Preview Job Opening Please note: Administrative, Faculty and Professional positions are typically posted for 30 days. Career Service positions are posted two weeks externally and internally or one week internally only. Part-time positions are posted for one week.

  38. Posting Details Continued Click OK and on the next page select Save and Submit Click Ok On the next page, the Job Opening Page, select Save & Submit Select Save & Submit

  39. Posting Details - continued Job Opening is now waiting for the hiring manager to approve. Select the Approval link to approve the job opening The hiring manager and next level will need to approve the job opening before it is approved by HR Employment. Click the Approve Button

  40. Posting Details - continued The hiring manager, next level will need and the HR Recruiter have approved the job opening as shown below: Job opening will now be posted on the Seminole State College HR Employment website.
