  9. What you don’t see • Account Creates • Extending End Dates • Changes to Data Fields

  10. What you don’t see • Budget Adjustments

  11. What you don’t see • The Award Document and Authorizing Changes • Anyone can initiate changes in KFS • Routing and approval • Changes initiated outside Sponsored Programs will not be approved • Only the Sponsor can Authorize changes

  12. Cost Sharing • DEFINITION: Cost sharing, also referred to as matching, is that portion of the project costs not borne by the funding agency • Could be CSU contribution or 3rd party

  13. Cost Sharing FRS v. KFS • How it looks in FRS

  14. Cost Sharing, Cont’d • How it looks in KFS

  15. Cost Sharing, Cont’d New fields: Is there c/s for this acct? Y/N Is a cost share acct required? Y/N

  16. Cost Sharing, Cont’d • The SP-9* form can be attached and always available *Cost Share Account (CSA) Request

  17. Cost Sharing • KFS will be new, but all current CSU policies governing cost sharing still apply

  18. Subcode 5680 v. Budgetary Control • FRS ‘removes’ over expenditures at month end • Account appears to be within budget • FBM reports are confusing • Added workload to departments

  19. Subcode 5680 • All is not well • But it looks OK

  20. Budgetary Control • A KFS option that could reduce or eliminate over expenditures • For selected accounts only – those with no additional funding from sponsor • Applied on an account-by-account basis

  21. Budgetary Control

  22. Budgetary Control • No more confusing ePrint reports • Reduces the dept workload of removing individual transactions that created the over expenditure • Potential application for private sponsors considered ‘at risk’ by allowing expenditures only up to the amount of cash received

  23. Indirect Cost FRS KFS Applied as transactions post Account is always up-to-date Balance available shows what is truly left to spend • Applied to transactions at month end only • No true picture of account until month end • Difficult to know ‘how much I have left to spend’

  24. Indirect Cost • Coding is currently ‘under construction’

  25. F&A Splits • For now, business as usual

  26. F&A Splits
