  1. The Serial Super-Record 2.0 Frieda Rosenberg ALA Annual Meeting Continuing Resources Cataloging Committee Chicago, June 2005

  2. In a time of ever larger collections and catalogs… a

  3. Catalog Environment • Competition with more comprehensive and more efficient information tools -catalogs are particularly problematic for journal searching -typical search fails to retrieve some relevant titles and retrieves some irrelevant titles • Supplementation or even duplication of the catalog path to resources • catalog records hard to integrate with uncontrolled, non-normalized, information

  4. Catalog problems • Search options too complicated • Multiple records for the same work • Relationships between records • not revealed at all in some cases • not explained sufficiently • hidden at the point where the user needs the information • Too many paths leading in circles to the same record

  5. Catalogs fail because • Keyword searches often treat MARC records as if they are full text—they’re not rich enough to qualify! • Library catalogs make almost no use of the rich thesaural structures available in authority files to improve user access. Diane Hillmann, Mar. 2005 (FRBR may improve some of that)

  6. “Flat records”(The distinct, separate, recordsthat the “rules”, and catalog software, demand—) for journals, of course, these are at the journal title level

  7. for“manifestations” (discrete, separate publications--)

  8. for multiple versions paper, micro, electronic…

  9. Catalogs also fail to present versions together,

  10. fail to collocate successive titles Atlantic … Atlantic adventurer… Atlantic battle… Atlantic c… ….. Atlantic m… Atlantic monthly

  11. and their holdings; Atlantic (Boston, Mass. : 1932) v.150-227(1932-1971) Atlantic monthly (Boston, Mass. : 1971) v.228-247:no.3(1971-1981) Atlantic (Boston, Mass. : 1981) v.247:no.4-272(1981-1993) Atlantic monthly (Boston, Mass. : 1993) v.273 (1993)-

  12. and fail to catalog the same work consistently from edition to edition. • FRBR’s idea: Catalog the work, or the expression of that work, once; let future records for manifestations use, or even link to, the classifications and headings in the work or expression record.

  13. Representative User Tasks in Serial Use • Find – find a serial title in a citation (may be abbreviated) • Identify – identify title in bibliographic citation • Select – e.g., among available packages • Obtain – determine whether library has the needed volume and in what format

  14. Until FRBR • Remember the caveats: • Having to wait for MARC changes • Having to wait for vendor implementation of changes • For clustering OPAC records, solutions may lie within our existing catalog data!

  15. T NASIG 1998 The Link Record (MARC- based)

  16. CONSER Task Force on Uses of a Publication History Record 2002-04 • Publication Patterns Initiative task group • formerly called Task Force on Universal Holdings --charge: to determine uses of conjoined 891 fields in bibliographic records --to envision holdings in the FRBR environment • Also relevant: PCC SCA Task Force on Linking Entries • Communicated with CONSER FRBR Task Group came up with …

  17. E1 Super-Record (displays agreed-upon “super-title,” plus links to component titles, editions, and formats). Codes in the component records help programmers set the links and labels for linking field displays. Publication history holdings record for each format collocated for all titles P1 P2 Mfm1 E2 Mfch1 Publication History Records Microfiche Title 1 Electronic titles 1-2 Print titles 1-2 Microfilm Title 1 ALA 2005: The Super-Record (virtual master record)

  18. How does it work? • Invoked by journal title search, by search for serial holdings, or by link from an individual record • Computer performs cascading search: 780/785 and 776 (possibly other linking fields in future) • searched in chain from record to record • via embedded control numbers in turn • title search for linking entry is last resort • Supertitle main entry according to user search: • (Current Version) first record in the sequence of titles in which the search appears as a title entry • Serial tree display of combined titles, organized by format • Holdings for each format displayed combined for all titles in the run

  19. Challenges • At global level (CONSER publication history record, based on 891s) • Erroneous or duplicate records (yes, even in CONSER DB!) • Missing control numbers (new imperative: use all!) • Need many more, and retrospective, 891 entries • At local level • Missing links in the successive entry chain more likely • Recommended: link only to titles owned (across missing titles) • Concatenating holdings may be more difficult • help from publication history record in regularizing?

  23. Effect of this search result • Loss of searcher control • Little basis to make a decision among available entries • Redundant display of the same records If super-record entry clicked, perhaps the OPAC could give a message that asks user whether publication history record would best suit needs • If so, Next two screens—Eliminated!

  33. Next steps • Try to involve major players (bib. utilities) • Change PPI guidelines to encourage addition of retrospective publication history information • ease the way by not requiring retrospective patterns? • Clean up CONSER and local serials databases • Test linking field control numbers for retrieval of records (including looping search)
