  5. GENERAL INFORMATION

  8. Establish a protocol. • When will the images be captured, during the appointment, after the appointment etc. • Everything in Vista Imaging Capture is controlled by security keys.

  9. Menus and keys needed to use VistA Imaging Capture/Display • Mag Windows • MagCap TIU • MagDisp Clin • Software configuration

  10. At a minimum the Imaging Coordinator should configure the following defaults on the workstation: • Source: Import • Format: Blue line, (software reads the file type when imported) • Association: TIU • Saving: Study • Mode: Online • Other: Copy to Server

  11. CUSTOM BUTTONS OR CONFIGURATION BUTTONS

  12. Scenario: Creating Custom Buttons • Open CPRS and select a patient. • Click the Tools menu and select VistA Imaging Capture. • Adjust the size of the Capture window as desired. • The patient selected in CPRS will be displayed in the Capture window.

  13. Scenario: Creating Custom Buttons • Check the default settings: • Source: Import • Format: (Blue Line) • Association: TIU • Saving: Study • Mode: Online • Other: Copy to Server

  14. Scenario: Creating Custom Buttons • Check that the Origin VA is selected. • Select Image from the Doc/Image Type. • Select a Specialty from the drop down window. Choose Primary Care, or Dermatology. • Select Photography from the Proc/Event window. • Remove “Image” from the Image Description field.

  15. Scenario: Creating Custom Buttons • Highlight the Configurations menu and select Save Configuration. • Title the Configuration. Click OK. • To check the configuration: • Highlight the Configurations menu • Select Clear Configuration values • Click the Configuration button and check the fields.

  16. IMAGE IMPORT

  17. IMAGE IMPORT • Importing Images: • Drag/Drop easiest • Import List window • Batch capture • Controlled Images

  18. SCENARIO: BASIC IMPORT • Click the custom Configuration button. • Click the progress note button and select a note from the Select Note tab. Notice that the note previews in the bottom window. You may have to adjust the size of the preview window.

  19. SCENARIO: BASIC IMPORT • Choose to Make an Addendum or not. If you choose to Make an Addendum you need to decide it’s status: Un-signed/Signed. The E-Signature is: vehu2010. • Click OK.

  20. SCENARIO: BASIC IMPORT • Notice the Note-Status-Loc is completed and the Note Date is filled in. • Fill in the Doc/Image date with today’s date by typing “T” in the field and clicking the enter key, or you can type the date of the note in the field.

  21. SCENARIO : BASIC IMPORT • The Specialty field is indexed. • The Procedure/Event field is indexed. • Notice the Image Description is filled in with the note title.

  22. SCENARIO: BASIC IMPORT • The Image folder is located on the “C” drive. The folder is called: S306H Images. • For Drag/Drop: open the folder on the either side of the Capture window and view the images in Thumbnail view by clicking the View menu and selecting Thumbnails.

  23. SCENARIO: BASIC IMPORT • Grab/Drag an image from the folder into the Capture window. • Click the blue icon to open the Image Long Description field, (It is an optional field).

  24. SCENARIO: BASIC IMPORT • To mark an image as Controlled, do so now by clicking the Utilities menu and selecting Controlled Image. If desired, use the tools located above the image to manipulate the image.

  25. SCENARIO: BASIC IMPORT • Click the Capture button. A Confirmation window appears on the screen. Click OK to save the image, or click cancel to stop the save. If Cancel was clicked and the image needs to be removed from the Capture window, click the Cancel button located on the Capture window.

  26. SCENARIO: BASIC IMPORT • If the OK button was clicked, the image is saved. • Select another image from the folder to drag and drop in the Capture window. • Use the tools above the image for manipulation as desired.

  27. SCENARIO: BASIC IMPORT • Select Controlled Image from the Utilities menu if desired. • Click the Capture button; click OK to Save the Capture. • Add more images, orclick OK to complete the Study.

  28. SCENARIO: BASIC IMPORT • A Study Complete window displays on the screen. Click OK. • The patient’s name should be removed from the screen as an indication that the capture session for the particular patient is completed.

  29. Using the Import Directory

  30. SCENARIO: Default Import Directory • Click the Options menu, highlight Import Options and select Import Directory Options. • Click the Add Directory button. • Double click the “C” drive option.

  31. SCENARIO: Default Import Directory • Scroll down and find the folder S306 images. Double click the folder. Click the Close button in the Select Directory window. • Find the Import Directory path you created. • Highlight the path, and click to set the path as the Default.

  32. SCENARIO: Default Import Directory • Click OK to set the default and close the window. • Notice the Import path is accessible from the Capture window. • Click the path to open the associated folder.

  33. SCENARIO: Default Import Directory • Click the down arrow on the View Menu and select thumbnails. • Select all by clicking the Open button, or using the Shift or Control key on the keyboard select certain images.

  34. SCENARIO: Default Import Directory • For the next import, select 4 images from the import path folder using the shift or Control key on the keyboard.

  35. BATCH IMPORT

  36. SCENARIO: Batch Import • Click the custom button that you created. • Click the Select Progress Note button. • From the Select Note tab, click on a completed note of your choice.

  37. SCENARIO: Batch Import • Notice that the note previews in the bottom of the window. • You can choose to Make an Addendum or not. If you choose to Make an Addendum you need to decide it’s status: Un-signed/Signed. The E-Signature is: vehu2010. • Click the OK button to close the window.

  38. SCENARIO: Batch Import • Fill in the Doc/Image Date with a date of your choice. • All index fields are filled in. Click the batch capture box. (Notice the Note Title is displayed in the Image Desc field.)

  39. SCENARIO: Batch Import • Notice a Batch Capture List window displays at the bottom left of the Capture window. • The Batch Capture List window has icons to move or remove one image or all images to or from the list window.

  40. SCENARIO: Batch Import • Hover the mouse over the second blue icon. All images from the Import List will be moved to the Batch Capture List window. Click the icon.

  41. SCENARIO: Batch Import • Decide what image will be the first image imported by dragging an image in the Batch window to first position, if you like. Or just click the first image on the list so it displays on the capture screen.

  42. SCENARIO: Batch Import • If the batch is to be marked as Controlled, click the Utilities menu and select the submenu Controlled Image. • Notice the Controlled Image notification to the left of the Capture button.

  43. SCENARIO: Batch Import • Use the various tools above the image to manipulate the image. • Click the Capture button. • A confirmation window displays on the screen confirming 4 images in the batch.

  44. SCENARIO: Batch Import • Click OK to confirm. • A Batch Capture Image Description window appears with the current Image Description. • Choose to change it, knowing that you may possibly have to change it for all other images in the batch.

  45. SCENARIO: Batch Import • Click Ok to save the image, or click Skip this image. • Save the next 3 images in the Batch. • Notice the images are removed from the Batch Capture window.

  46. SCENARIO: Batch Import • A confirmation window displays on the screen confirming 4 images in the batch. • Click OK to confirm. • Click the Study Complete button to complete the Capture process.

  47. SCENARIO: Batch Import • Click OK to close the window. • The patient’s name is removed from the screen as an indication that the Batch Capture process is finished. • Exit out of VistA Imaging Capture.

  48. CPRS

  49. SCENARIO: CPRS • Restore CPRS by right clicking on CPRS located on the task bar. • Click the File Menu and select Refresh Patient Information to update the chart. • Click on the Notes tab.

  50. SCENARIO: CPRS • Find the signed note from the capture and notice the icon in front of the title. • Click the note title, (nothing happens) as images will not open until VistA Imaging Display is open.
