  6. PETS Overview – Jennifer Van Houtte – District Trainer During PETS… • Sit with PE/PNs at meals and District sessions • Attend all meals and all sessions • Avoid sitting at tables in breakout sessions • Review agenda – time frames • Items for packets • Protocol – standing for R.I. President

Expectations for Assistant Governors • Regular visits / reports (via My Rotary – Jonathan Canaday) • Try to develop at least one good contact in each club • Remind the clubs: • Foundation Goals • Foundation Contributions • Club Goals • Membership • Foundation giving • Service Projects • Club Leadership Plan • SAR (Semi-Annual Report) • Election of new officers (encourage sooner rather than later) • Get President-elects (and President-nominees, if possible) to MAPETS • Grant application deadlines • District Assembly – attend or perhaps present information • District Conference – attend and offer to assist the DG or other presenters

District Governor Visits – DG Pam Gibson • Coordinate DG visits with the clubs • Schedule of DG visits – paper copy and DACdb copy (put it in your phone calendar!) • Site arrangements for the club visit • Time to meet with President/Secretary • Time to meet with the Board & other Club Officers • Notify DG of: • Place of the meetings with President/Secretary/Board/Club Officers (if different) • Place of the club meeting • Area hotels (when/where appropriate) • About one week in advance: • Notify the Club President and/or Club Secretary of the impending visit by DG • Inquire about any changes in club meeting location • Inquire about any news that the DG might ought to know going in to the meeting • Make certain the meeting is designated for the DG and the club is aware the DG is the program for that day/date

DACdb and MyRotary – Jonathan Canaday – District Communication Officer • Encourage clubs to make use of DACdb • Make sure that the President and other officers are entered into the database (might carry a camera or use phone camera to get head-and-shoulders photos) • Encourage clubs to use MyRotary – especially officers, but AGs can help, too • AG Quarterly reports – club visits

DACdb and MyRotary – Jonathan Canaday – District Communication Officer • First Quarter Report (July – September range) • Is club ready for DG visit? • Has club sent in their SAR and paid dues to R.I. and District 6170? • Does the club have a budget? • Remind that August is Membership month • Are monthly attendance reports going from the club to the District? • Second Quarter Report (October – December range) • Is a Foundation program planned for November? • Were club elections held no later than December 31st? • Are monthly attendance reports going from the club to the District? • Check-up on progress toward club goals.

DACdb and MyRotary – Jonathan Canaday – District Communication Officer • Third Quarter Report (January – March range) • Is club making progress toward Presidential Citation? • Has club registered their PE (and maybe PN) for attending PETS? • Has club sent in January SAR with dues to R.I.? • Are monthly attendance reports going from the club to the District? • Fourth Quarter Report (April – June range) • Has the club submitted any Annual Program Funds and/or Polio Plus fund to R.I.? • Has the club registered a delegation (including Club President and Club Secretary) to attend the District Conference / District Assembly? • Final check-up on club goals for the Rotary year. • Brief new AG (if applicable) on the status of the clubs in your area of coverage. • Has club planned a dignified ceremony for installation of next Rotary year’s club officers? Are you attending and/or participating in the installation?

  15. Final Items… • Encouraged to attend the Thursday night dinner. If you did not make reservations for attending or were planning on going out in Fort Smith, please try to include other Assistant Governors and/or any PE/PNs who came in Thursday. Just a suggestion. • Please be safe at all times • Need AGs ready to volunteer…ready to step in if there is a way to help during District sessions. If you have a contribution to make, please speak up. • Need two Assistant Governors to be ready to work REGISTRATION with DG Pam, DGN Bill DeVore, and Allen Morgan. • Five-Way Test It: • Is it the TRUTH? • Is it FAIR to all concerned? • Will it BUILD goodwill and better friendships? • Will it be BENEFICIAL to all concerned? • Is it FUN? • As a Rotarian in my home club would say: If not, don’t do it.
