  23. Grantee Responsibilities • Implement the program in the approved proposal • Make no programmatic changes without filing an amendment • Do not change hours of programming • Do not make major changes in staff levels without permission, especially related to administrative salaries or instructional salaries • Do not change/add/delete schools approved in proposal

  24. Responsibilities • Follow Program Specific Terms of the Grant, RFP Attachment 13 • Maintain attendance records • Maintain the size and scope of the program throughout the lifetime of the grant • Gather data as required for the Profile and Performance Information Collection System (PPICS) reporting for the Annual Performance Report to USDE ***Call your consultant if you have questions

  25. Amendments • Programmatic—Adding/changing staff, programmatic changes • Do as needed during the year • Do before any change is made • Do not change schools • Fiscal—Cells within budget change by $1000 or 20% whichever is greater; opening a new cell • Do before the change is made • Do not wait until end of year • Amendments require a minimum of 30 days before the end date of the grant

  26. Out of State Travel • 50 or more miles from Illinois’ borders • No out of state travel without prior permission from ISBE • Submit request on form to be accessed online at www.isbe.net/21cclc • Request should come from the fiscal agent, not the individual school or person • Do not schedule airfare, hotel, etc., until permission is received. • USDE 21st CCLC Summer Institute travel is exempt from this requirement.

  27. Projected Numbers of Students • If projected numbers change by 10%, either more or less, send ISBE a letter to indicate this for the permanent file. • If not, ISBE auditors will cite this exception when auditing.

  28. PPICS FY09 Due Date • All data must be updated, entered, and certified by November 2, 2009. • Funds will be frozen for projects that do not complete the APR by this time.

  29. PPICS Requirements FY10 Cohort • Complete only the Grantee Profile by November 2, 2009. • Refer to program binder for PPICS reporting requirements for FY10 and put systems into place at this time for reporting summer 2009 and school year 2009-2010 data, i.e., for the FY10 APR.

  30. PPICS Reporting • Three milestones were established this year and will continue in FY10. • ISBE/LPA will review timelines and provide more information. • LPA will provide tips and assistance. • Funds are currently frozen for some projects because milestones were not met.
