  1. Look up incomplete appraisals for Appraisers and Administration teams (Primary and Secondary Care)

Incomplete appraisals • There are a couple of reports for administrators to check who they need to chase up to complete appraisals, but these reports are not available to Appraisers • This Powerpoint slideshow shows a more straightforward way of checking who needs to be chased up • All you need to do is login to SOAR, and click on “Interviews” from the menu • Same steps for Primary and Secondary Care Admin and Appraisers

All interviews scheduled in Health Board are listed • Need to filter results • You can filter search by: • Interview Status • Form 4 Status • Interview dates • Appraisal Period • Appraiser(surname) • Instructions for Appraisers: • Appraisers will only be able to view interviews they are appraiser for • Appraisers cannot delete interviews • Instructions for Admins: • Admin teams can access all interviews in Health Board • Admins can delete any duplicate interviews • If you are unsure which interview to delete due to incomplete forms, contact SOAR Helpdesk for assistance

Search for incomplete interviews • Set Interview Date range (From/To) • (or Appraisal Period) • With date range set, you need to do two searches: • Set Interview Status to Unconfirmed and Search • This lists all interviews scheduled within a defined period, where the Appraisee has not yet submitted their forms • Set Interview Status to In progress and Search • This lists all interviews scheduled within a defined period, where appraisee has submitted forms and is awaiting Form 4 sign off • You can define this list further with Form 4 status

Interview and Form 4 Statuses • Interview Status: • Unconfirmed (No forms submitted by Appraisee) • In Progress (Forms submitted by Appraisee) • Form 4 Status: • Not Created (Awaiting Appraiser to create) • Draft (Awaiting Appraiser to finalise and forward) • Forwarded (Awaiting Appraisee to review and sign off • Change Request (Awaiting Appraiser to review request and re-forward Form 4)

Chasing up • Local protocols are in place regarding who chases up the Appraisees, but… • SOAR automated email reminders will kick in at 2-week and 4-week intervals, from creation of Form 4 • At 2 weeks, email goes to whoever needs actioning • At 4 weeks, email goes to Appraiser and Admins • After 4 weeks, it is up to local teams to chase up • Some Health Boards may send letterheaded reminders to Appraisees urging action • Some Appraisers may give Appraisees a phone call to remind them, etc • If you appraise in more than one Health Board, please check with Admin teams if you are not sure about local protocols (each Health Board will be different)
