  2. History and Business Description The law office was established in 1992 by Frank Cassiano. The Law Offices of Frank Cassiano is located on 310 South Pitt Street in Greenville, NC. There is one lawyer, Mr. Cassiano, currently working in the office with one paralegal and three legal assistants. The Firm limits its practice to representing any case in commercial truck crashes, medical malpractice and personal injury claims. Altough the Firm is well rounded with knowlegde in all three areas of the law with these types of cases about ninety percent of the cases in the office deal with commercial truck crashes. Members of the Firm possess substantial knowledge regarding the complex network of federal law which exists to regulate trucking throughout the United States. “We stand ready, willing, and able to investigate accidents and crashes like few other firms.”
  3. What is the problem? “The Pain…”
  4. Current Work Environment The system in which the Firm operates is a relatively simple one. All the computers in the office are networked together with one in-house server. Everything regarding the cases is saved under the server for easy access from any employee’s computer to the information. The information itself is saved in separate documents in separate folders for each client. For example, John Doe has his own file that can be found in the “Work” folder then under the “Clients” folder with the folders being in alphebetical order according to ast names. In this “Clients” folder there are up to 341 case files. Another feature of the current system for keeping track of important dates and schedules is mainly kept on a physical calander which sits on one desk in the paralegals office. The last feature of the current environment that we focused on is the way the Firm takes messages. When a call is received the employee taking the call usually takes a message on a sticky note for that caller usually giving a few details about what the call is in reference to.
  5. Problems Observed With Current System In dealing with the “Client Notes” of the cases it is very difficult and time consuming process in trying to find the information you need. It is unorganized. There is too much information crammed into one document that is all very vital to the cases. There simply is a lot of information that goes into every one of the cases. Important dates and times of important aspects of the cases such as times and dates of depositions, mediations, court dates, jury selections, client meetings, potential client consults etc. With each case there are many correspondants which don’t always have a paper trail. The main correspondance in the office is done by phone. The Firm receives up to sixty phone calls in a day which can be for any of the forty open cases in the office.

  7. Objectives The new system will combine all the above stated problems into one organized and easily accessible system. Increase speed of access Electronic calendar to organize and provide easy access to important date Process for transmitting messages

  9. Expected Benefits of Proposed System The expected benefits from this system are mainly to increase work speed and organization. Organization and ease of access Transmit messages electronically, replacing manual method Calendar will be accessible by all employees at their workstations
  10. Users Affected by Proposed Project The only users being affected by the implementation of this new system are the employees directly involved. Each employee will use this system because it has every one of our cases important facts within it. The clients and other people who depend on the office will be indirectly affected because the problem of misplaced messages will be dramitically reduced and the speed of an action taking place due to a received call will be sped up.

  16. Summary of Analysis After completing the Vision Document and Project Plan for the law office, we are now geared towards the analysis phase. We have taken the requirements from the users and translated them into Use Cases for the system Each Use Case is broken down into flows There is the one “sunny day” path/flow followed by alternative flows incase of any hiccups

  21. Design Phase What happens now? After tying up loose ends on our use case package we entered into the design phase Design Phase: You will see a Physical Entity Relationship Diagram (ERD) which is a graphical representation of the entities of the system, and the relationships between them. We have some sample forms and reports Navigation Diagram, another visual aid to show processes Some hardware and software specifications
