  1. State Report Troubleshooting

  2. Own your data • Probably the best thing you can do to make reports run correctly is to have correct data in your database. • All of our reports are based on the school year of the student. If they have a current school year they will be considered for the report.

  3. To troubleshoot most reports use the AT or the RT view (since they are the same) • It will show all active students with a school year, new enrollments and withdrawals • You can open the school year from this view and edit • You can delete from this view

  4. Sort by grade, scroll to the bottom of list to make sure everyone has grade. • If not, select students – Actions – Get Grade. • I advise you to do this during the first few weeks of school

  5. Sort by ID, scroll to the bottom of list to make sure everyone has ID. • If not, you will have to look for those students in the main student view. • I advise you to do this during the first few weeks of school

  6. Harmony 3 This view needs to come up or the file is not ready to sent to the state.

  7. If those do not come up the first place to look is at the status bar. Click to open and it will give you the error if there is one.

  8. You have the spreadsheet still open. Close it and the report will run. • File already open on line 15 • The file itself is open. Hit run again and the report will run

  9. A student has an exit date on the RT report but has not been withdrawn? • Mason Cox is missing a school year. It puts the withdrawal on Isabel Cox because the report uses the sort number to gather data. • You need to either add a school year to Mason Cox or delete his withdrawal.

  10. Student has multiple grade levels in one school year. Determine the correct one by looking at the properties on the school year under the students name in the Main student view. Then you can delete the incorrect ones.

  11. Open the status bar and look for a students name. That is the last successful student loaded. Look in your RT view for the next student. That is your problem. The school year exist but the student document does not. Determine if you need to add document back in – or should you just delete the School Year

  12. You need to resolve this on the STN application site. • You can delete the existing RT record in the students information. Resend the report and there will be no conflicts.

  13. You can delete the existing RT record in the students information. Resend the report and there will be no conflicts.

  14. We received 100 errors on our ME Report. All 100 errors are for invalid grade level. I have looked at the demographics for the students and they all say 7 and 07 (which is what is showing as the error) I do not know where the report pulled the 07 from to fix the problem. Can you help me with this? • Go to RT view and check grade level on the school year. • Actions – Get grade

  15. We have had some issues pop up that we have not been aware of until now.  When we withdraw a student, the information that the state receives from Harmony is not what was reported on the DOE-RT report.  This does not happen with every student but it also shouldn’t happen at all.  We have lost some students on our graduation cohort and will now count against our graduation rate because they were reported incorrectly.  The exit code is recorded correctly by my secretary when she withdraws them, but somehow the wrong exit code gets pulled on the DOE-RT report.  Is this something on our end?  If so, what do we need to do fix this? • Withdraw on the first day of school – In Harmony you can not do it over the summer. It only gets reported on the first RT of the year.

  16. Needs to find the names of the 7 KG students that they submitted on the LM report from last year at the Elementary • You can go to the Data verification area on the STN site....Reports.....LM and look at the actual report and it will list the students by STN. You will then need to search within Harmony by STN# to find the student.

  17. For the DOE-DM report, only Codes 1-31 are allowed.  Mxxx Kxxx, the assistant principal, listed a student who was expelled last year through the end of Trimester 1 as a 33 code.  What is Code 33 supposed to be used for because I don't know how to use it if the DOE won't let us use it on the report? • Code 33 is for students serving expulsion and is to be reported on the RT report. This student is not a dropout and should not be on the DN report. An expelled student is legally still enrolled in your school.

  18. 339908136: at 3397: ORA-01422: exact fetch returns more than requested number of rows ORA-06512: at STN_PROD.P_CHECK_STN_ME_RT", line 96 ORA-06512: at "STN_PROD.P_INSUPD_SE_2012", line 141 ORA-06512: at line 1 • Sometimes the STN does not get it right. Their coding was wrong.

  19. Harmony 3 At this time there are no error reports in Harmony 3. But if you get errors on data you can easily find those.

  20. Harmony 3 You will have all the fields for a specific report for that student.

  21. More fields • We are adding more as the reports open.
