  3. EDI Results & Entries We need schools' 2011 GCSE results, plus any 'early' e.g. 2010 results, or 'regrades' they might have. Ideally we simply need a copy of the EDI Entries and Results files from schools: Eaaaaabb.Xcc An Entry file Raaaaabb.Xcc A Results file where aaaaa is the 5-digit Exam Board Centre Number bb is a two-digit code number for the Board cc is a two-digit serial number

  4. EDI Results & Entries If we've already received Entries files earlier in the year, with a decent (say, >50%) percentage match (BOB will say nn entry files matched on dd mm 2011), then we just need Results files now:

  5. EDI Entries Entries files: must have 11 = year on first line (12-13th characters), 94-95 for dob’s (halfway across screen, like the 92-93’s are in this old example):

  6. EDI Results Results files: MUST have SOME 11’sin our collection = year on first line (12-13th characters) – can also have 10 for ‘earlies’ (the following example shows 11’s): 01=OCR 02=CIE 10=Edexcel 40=WJEC 61=CCEA 70=AQA

  7. Sending us results Secondary+ website (use Results Collection -> KS4 & Standard Grade link, for example.

  8. Sending us results Use Uploader Facility on Secondary+ to send us files(Results Collection -> File Upload):

  9. Sending us results Or, if they really can’t use the Uploader facility, they can simply email the files to examcollection@cem.dur.ac.uk- these arrive on the Helpdesk:

Sending us results Or download and run the cemfind program from Secondary+ (Results Collection -> File Download) - it helps them find the files on their machine, and sends them to us: BUT we’d prefer the schools to use the Search facility on their machine, rather than use cemfind, as cemfind often has issues with firewalls and permissions!!

Once we’ve received files Uploaded files from schools They arrive here, and stay there until we process them: \\cemnasgw\EDI\Uploaded\MidYel\EntriesResults (in a folder named by the school's BOB General Number) So if any files come in on the email, put them there! Then after the 7pm load-into-our-system process, they go to \\cemnasgw\EDI\Uploaded\MidYel\Archive Except for problems, which go to: \\cemnasgw\EDI\Uploaded\MidYel\Problems

  14. Once we’ve received files Once Results files have been loaded into our system,BOB will say something like: 01=OCR 02=CIE 10=Edexcel 40=WJEC 61=CCEA 70=AQA

  15. Problems… Q: What if the school have lost their Entries files? A: We can accept a csv file of their Entry details instead (details on FAQ3 on the ER letter). Entries csv file must contain: Exam Cand No 4 digits Surname Forename(s) name1 name2 Gender M/F DOB dd/mm/yyyy - check dob Year: 94-95 Level G for GCSE

  16. Problems… Q: What if a school simply can't send us their EDI Entries and Results files, for whatever reason? A: They must either: fill in their results on the Online Editor on Secondary+ (Results Collection -> Edit Exam Results), or fill in a pre-formatted Excel spreadsheet (downloadable from Results Collection -> File Download) and send us it.

  17. Problems… • Problem messages (dodgy files, missing Entries, etc.) will be sent to the Secondary Admin folder on Helpdesk. Schools need emailing, through the Helpdesk, when these are things that can’t be fixed at our end. • Pre-formatted responses are inserted like this into a Helpdesk response: • Quick Insert • Macro • GCSE Collection • Incompatible format • Non-standard file format – Still need Entries and Results • Non-standard file format – Still need Results • No files • Confused over Entries/Results (i.e. don’t understand why they need to send Entries) • Files received – Still need Entries • Files returned – Still need Entries + Results • Files returned – Still need Results

  18. IGCSEs These will be collected in with the corresponding, or closest match, equivalent GCSE. If they come in via the EDI Entries/Results files, our system will know if they’re IGCSEs. If they come in through Excel file or Results Editor, then if the schools let us know which subjects are IGCSEs, then please log these details in the central store.

  19. Schools should check the Online Results editor (Results Collection -> Edit Exam Results)… 24/48 hours after sending us results
