Frequently Asked Questions • Which group of students are the final cohort of GEE and which students are the first EOC cohort? • First-time 9th graders in 2009–2010 are the final GEE cohort and take EOC for course grade only. • First-time 9th graders in 2010–2011 are the first EOC cohort. • Which students test in December? • Students completing EOC courses in high schools with block schedules • Students completing the second semester of an EOC course • Retesters who need EOC as graduation test • Students who completed EOC courses outside the testing window

Frequently Asked Questions • How have the EOC assessments been affected by the transition to the Common Core State Standards (CCSS)? • Test design changes include: • Writing prompt now asks students to use text to support their response • Math assessments focus on the major content of each grade • Increased testing times • Field testing of new item types

  11. Administering EOC Tests to LAA 2 Students • EOC Grading Policy • EOC test results count as 5% of LAA 2 students’ final grade. • Graduation Requirements • LAA 2 students may use either the EOC test results or LAA 2 grade 10 and 11 test results to meet graduation requirements.

  12. Reporting Testing Irregularities A testing irregularity is any incident that leads to a question regarding the security or accuracy of the test data. Irregularities should be reported to the STC and DTC the day they occur. DTCs should monitor the reopen test sessions report to ensure sessions are reopened only when necessary. LDOE must be notified by Friday of the testing week of any testing irregularities.

Reporting Voids to LDOE • District voids must be submitted to the LDOE by Friday of the week the incident occurred. • If voids are not submitted in a timely manner, students’ scores may be initially reported without the void applied. • All Void Notification Forms must be submitted by December 13, 2012.

Testing Irregularities December 4-13 Send E-mail to: Leslie.Lightbourne@la.gov Dana.Maxie@la.gov STC DTC • A testing irregularity is any incident in test handling or administration that leads to a question regarding the security of the test or the accuracy of the test data. • Teachers and Test Administrators must report all testing irregularities with written documentation to the School Test Coordinator on the day of their occurrence. • The School Test Coordinator must submit a Void Notification form with the documentation to the District Test Coordinator. • Because of the short turnaround for reporting, suspected incidents of cheating must be reported to the District Test Coordinator and district voids submitted to the LDOE by Friday of each school’s scheduled testing week. If voids are submitted later, students may receive an initial score that does not reflect the void. The Void Verification form should be faxed to the LDOE along with other documentation.

Administrative Errors If EOC tests are voided by the district due to an administrative error that results in questions regarding the security of the test or the accuracy of the test data, the LEA Superintendent may request in writing an opportunity to retest prior to the next scheduled test administration. Also, if after scores are released it is determined that an administrative error resulted in a question of the accuracy of the test data, the LEA Superintendent or parent or legal guardian of the affected student may request in writing an opportunity to retest prior to the next scheduled test administration.

The testing window for administrative errors that occurred during the December 2012 administration is January 17–18, 2013. The district will be charged a fee for each retest due to administrative error.

Resources for Trainings and Test Preparation The EOC Hands-on Training workshops will not be offered this school year, but there are several training resources to assist EOC Tests system users as they prepare for the upcoming administration. We strongly encourage districts and schools to use the EOC demonstration site and the online software tutorials to deliver training to personnel who are not familiar with the system.

Demonstration Site • Available to District and School Test Coordinators, Teachers, test administrators, and students • Allows administrative users to practice registration and test administration tasks • Allows students to become familiar with the EOC Tests system interface • Provides ability to create training accounts for school-level workshops or independent trainings The Demonstration Site can be accessed from the EOC Tests homepage (Login tab) or directly at https://eocdemo.louisianaeoc.org/. • To establish a demonstration district and demonstration accounts for conducting workshops or independent training use the account creation code: EOCDemo123.

Accessing the EOC Tests System Read, sign, and fax the Security and Confidentiality Agreement to Dana Maxie at 225-219-0474 Log in to the EOC Tests system using your District Test Coordinator User ID and password. Assign a School Test Coordinator to each school within your district. Assign a Technology Coordinator for your district. Print and deliver the password letters to the STC who is coordinating testing at each school in your district.

Registration Reminders CSV Uploads For the December administration, districts and schools must upload student enrollment into the EOC Tests system by creating comma-separated value (CSV) files or manually entering students one at a time. • During the registration window, there are two ways to upload CSV files into the system: District Level • DTCs have the ability to upload a District CSV file, which can load student enrollment for multiple schools in a district. School Level • STCs have the ability to upload school-level CSV files, which load teacher, class, and student enrollment.

Registration Reminders District CSV File Upload • Function may be used by the DTC to populate the EOC Tests system with student demographics and teacher/class assignments. • District CSV File upload can only occur during the registration window. • Student accommodations must be manually entered and are not part of the CSV file upload. • Data for fields that are not required (e.g., Migrant , LEP, Free/Reduced, etc.) should be included if available. Failure to include these data elements can cause inaccurate summary reports. • File layout and upload instructions can be found on the EOC Tests Homepage, www.louisianaeoc.org, under Technology Resources.

Registration Reminders • Preloaded Retesters Potential retesters will be automatically uploaded into the EOC Tests system for: • Algebra I • English II • Geometry • Biology • English III • CSV Student Score Files • CSV Student score files can be used for electronic grade books • District level file available to DTCs • School level file available to STCs • Class level file available to teachers • Available only during the window.

  32. Quick Reference for DTCs How do I schedule schools for testing? Each school must have a testing window assigned in the EOC Tests system. The DTC must select a testing start date and testing end date during the registration window. How do I upload all students for my district? The District CSV File Upload function may be used by the DTC to populate the EOC Tests system with student demographics and teacher/class assignments. District CSV File upload can only occur during the registration window. File layout and upload instructions can be found on the EOC Tests Homepage, www.louisianaeoc.org, under Technology Resources.

  33. Quick Reference for STCs How do I assign accommodations? System functions allow the STC to assign accommodations and print an accommodation report. How do I manage retesters? The EOC Tests system automatically creates retester classes and pre-populates those classes.

Technical Problems (continued) School/District Procedures If a student cannot resume testing after a test session is reopened, the secure browser should be closed to clear the cache on the student’s computer. The Teacher or Test Administrator should notify the School Test Coordinator who should contact the District Test Coordinator. The Test Coordinator and Technology Coordinator should evaluate the situation to determine if the issue is a school or district issue. If online testing is disrupted and students are unable to continue testing on the same day, the School Test Coordinator should document what occurred as a testing irregularity and notify the Test Coordinator. If the students will be unable to return to testing by the end of the day after the disruption, the District Test Coordinator must immediately notify the Louisiana Department of Education (LDOE), Division of Assessments and Accountability.

LDOE Communication Plan EOC Tests System – Statewide Procedures In the event of a statewide issue that affects EOC Testing across multiple districts and schools, LDOE will communicate with Test Coordinators and Technology Coordinators via two resources. • www: The EOC Tests homepage (www.louisianaeoc.org) should be checked frequently for updates concerning the online administration. • E-mail: District Test Coordinators and District Technology Coordinators may also receive e-mails. The e-mail notification will include EOC Tests system status and recommendations for handling the situation.

Technology Updates EOC Tests – Technology Considerations The following technology guidelines should be considered when preparing labs and classrooms for EOC testing. • The EOC secure browser must be downloaded to each computer used for testing. Windows v2.30.3 Mac v1.23.0 • Internet Explorer (IE) 7.0, 8.0, and 9.0 is supported on Windows computers • IE 9.0 has native SVG viewer so the SVG plug-in is not required • Firefox and Google Chrome are not supported • Safari 5.0 through 5.0.6 is supported on Mac computers • Support for Safari 3.0.4 and 4 was dropped this year • The SVG plug-in is not required on Macs

Additional tips for ensuring that labs and classrooms are prepared for EOC testing. • If computers are imaged, ensure the “base image” is captured after the preparation for EOC testing has occurred • Review the EOC Technology Guidelines on the EOC Home Page (www.louisianaeoc.org) for additional technology considerations • Assign a technology point of contact at each school and make sure they understand the Technology Guidelines • Request that they complete the checklist on page 22 • Complete the steps on the EOC Home Page (www.louisianaeoc.org) to ensure plug-ins, Flash Player, and sound & graphics are working properly.
