  2. NEW VERSIONS OFMANAGEMENT CENTER FORMS New versions of the Management Center Forms have been released. Please aim to consolidate requests on a daily or weekly basis as much as possible. Excel Forms will promote consolidation of requests and allow for faster and more accurate data entry from the SMC team.

  3. MANAGEMENT CENTER INFORMATION More information on the SMC can be found in the overview document on the Personal Property and Transportation Division (PPTD) website. • All forms can be found on the PPTD website: • http://www.osec.doc.gov/ofm/OAP/PPMTD. • Select the link Personal Property Forms

  4. Choices located within a List of Values (LOV) in Sunflower is managed on an administrative level by the Sunflower Management Center (SMC). • If a user wishes to add something to a LOV, they should submit a form to sunflowerhelpdesk@doc.gov. Request forms include: • Catalog Management Form • Location Management Form • Organization Management Form (PMO ONLY) • Person Management Form • Role and Org Contact Management Form (PMO ONLY)

  5. DIRECTIONS TAB All forms will feature a DIRECTIONS tab that will contain additional information about the form.

  6. DIRECTIONS IN NOTES Directions for each field can also be viewed by hovering your mouse over the field name.

  7. REQUEST INFORMATION Once the Request Information is completed on the DIRECTIONS tab, it will populate on all other tabs within the file. Suggestion: If saving these forms to a local drive, complete this information before saving to minimize data entry each time.

  8. ADD, MODIFY, RETIRE TABS Green indicates the addition of information. Blue indicates the modification of information. Purple indicates the removal of information. There are multiple tabs on the bottom of each form to help you request the addition, modification, or removal of information. In each case, different information is required.

  9. CATALOG MANAGEMENT FORM Use the respective tabs to add, modify, or remove catalogs from the PPMS. A catalog identifier can be found on the asset record.

  10. LOCATION MANAGEMENT FORM • Use this form to: • Add Sites (city and state combinations) • Add Buildings (Structure Level 1 Locations) • Modify Locations (both site and building names) • Retire Buildings • Sites (city and state combinations) are typically not retired in the PPMS as they may be used again in the future.

  11. ORGANIZATION MANAGEMENT FORM • This form is used to add, modify or retire • Steward – the Custodial Area (PMO ONLY) • Owner – the Property Accountability Office (PMO ONLY) • According to the Sunflower PPMS Bulletin # 001, FY13, “A Bureau PMO and/or designee(s) are the only authorized officials who may submit a Sunflower Organization Management from to the SMC.”

  12. PERSON MANAGEMENT FORM • Use the respective tabs to add, modify, or retire Person Records from PPMS. • Sunflower maintains a Person Record for every person associated with the system. For example, a person record will exist for both property end users as well as PPMS. • Census, NIST, and NOAA People Records are brought in through an HR Interface. • The SMC cannot modify these Bureau’s People Records. • If something is incorrect on a Census, NIST, or NOAA Person Record, contact your respective HR Department or IT Department. • A Person Identifier can be found to the left of a person's last name in any name field.

  13. ROLE AND ORG CONTACT MANAGEMENT FORM • Only PMOs and/or their delegates can submit the Role and Org Contact Management form. • User roles are constituted of 3 individual records in Sunflower: • Person Record (must exist before completing this form) • Assigned Roles (i.e.- Inventory Clerk, Review Clerk, etc.) • Organization Contacts (assignment to a custodial area(s) that contain assets) • This form is used for adding, removing, or modifying: • Registered User Roles • Organization Contacts • More information on roles and organization contacts can be found in the Sunflower Roles Overview Document.
