  1. Employees’ Coachingat CCG Facilities Council Presentation May 8, 2012

  2. Citywide Policy Employees who manage and oversee CCG Facilities and Programs are not permitted to serve as coaches and trainers within said CCG Facilities. Exceptions: Bull Creek, Oxbow Creek Golf Courses, & Cooper Creek Tennis Center

  3. Cooper Creek Instructor’s - Criteria Employees at CCTC engaging in Coaching, Teaching and/or Instructing tennis lessons in any capacity are subject to the following: 1. Not allowed to offer these services during their scheduled work shift, including during breaks/lunch. 2. Staff must follow the same procedures as the public when reserving courts, paying court fees, etc.

  4. CCTC – Criteria, Cont’d. 3. Staff cannot and should not take advantage of the reservation system in place due to the accessibility through their employment.

  5. CCTC Instructor Rules & Procedures • Must sign a Hold Harmless & Indemnification Agreement • Obtain Valid Business License • Provide in advance: • Bi-weekly schedule of lessons/practices/clinics • Bi-weekly work schedule for Cooper Creek Staff must maintain and submit: • Tracking log of lessons/practices/clinics offered

Rules and Procedures, Cont’d • Fees paid by customers to staff • Fees paid by staff to the City (Court Fees, etc.) • Reservations log for courts used Create a log book with tracking forms that are required to be turned in bi-weekly or monthly. Information submitted by staff will be matched with staff schedules and used to audit accounting along with weekly visits.

  7. Audits • Random audits will be conducted to ensure all proper procedures are being followed. • Any staff that does not adhere to these procedures will forfeit their rights to offer services at this location and may include disciplinary action up to and including termination.

  8. Management Oversight 1. Obtain reports submitted by employees of CCTC participating in offering tennis services. 2. Conduct weekly/bi-weekly audits of reports submitted to ensure staff are in compliance with established guidelines. 3. Communicate closely with P&R Finance Manager to ensure fees paid are correct and balance with information submitted.

  9. Sports Officials There are a number of employees within the various CCG Departments that serve/volunteer as referees, officials, and coaches for various sporting programs at CCG facilities, many of whom we don’t know about. Includes, but not limited to: Youth Football/Basketball, Soccer, Little Leagues, etc.

  10. Volunteering Continue to allow employees to volunteer their time and talents to citywide programs at our CCG Facilities that they neither manage or control.
