Where are we going with this? • How does your Treasurer serve you as an SGMP member? • How do these methods relate to Meeting Planning? • What have I learned that will help my fellow members?
TreasurerDuties • Reports to National SGMP • Budget & Bank Statement Reconciliation • Ensure compliance with the 80/20 requirements for spending • Ensure actions comply with policies • Pay the bills!

How does this affect me as an SGMP Member? • It’s your money • We strive to put every penny to use in the way that best serves our members • It’s your meeting • The educational content, flow of the meeting, venue and food • It’s your opportunity • Scholarships and Awards are given based on the budgets
Okay…now translate that to my Meeting Planning • Begin at the End • What is the Goal of the Meeting? The largest portion of your Budget needs to go to that • Build-out Schedules • Start from your event and work backwards. Note when your $ will be available to use
Meeting Planning Cont… • When must payments be committed to vs. when are they due • When must orders be placed, speakers engaged and paid, etc. • How do we recoup any monies paid if there is a cancelled order, speaker, etc.?
Meeting Planning cont… • Think “Worst-Case” Scenario • Check for Ancillary Expenses • Yes, you do have to pay for WiFi…do you have to pay per meeting or per individual? • Yes, you do have airport pickup scheduled for your speaker…does the company charge extra for luggage?
Finally… • Check for on-going or maintenance expenses. • Yes, that cool new Registration Program is awesome…but is it going to eat your budget for the next year? • ALWAYS have a Reserve Fund • But if I don’t spend it I’ll loose it for next year!
