Tutorial for Administrators (Hrly-Reps) Using webBASIS Time Clock for Hourly Time Reporting and Acceptance
Administrator Responsibilities • Ensure that wage rate is setup to allow for web time entry • Ensure that the employee and the supervisor understand the use of the web time entry process • Ensure that the time punches are accepted prior to the pay date of hourly time • Monitor and ONLY with approval and documentation from supervisor, accept time punches on their behalf
When employees and their supervisors have both agreed to “EXCLUSIVELY” use this facility to record and report time worked; along with accepting the time for payment. You will no longer enter the time worked but will monitor it to ensure that everything is accepted so that employee will be paid appropriately.

When you as Administrator have to accept an employee’s punch for which you are not the supervisor • Remember: You should only accept an employee’s punches on behalf of the supervisor when you have sufficient documentation supporting that the time worked is accurate. • If you have any doubts regarding the acceptance, DO NOT accept the punches. Once punches are accepted you cannot modify them. • In order to accept these punches, you MUST process the acceptance via webBASIS. The system will document your ID as having accepted the punches.
Tips • A maximum of 20 pending punches will be available for acceptance at one time. If you have more than 20 pending punches, you will have to approve the first 20 then go back and continue accepting additional punches. • Punches are not available for acceptance on the current date time of entered. In other words, if it is 10/10/11 and you are approving pending punches, you won’t see any time for 10/10/11 until 10/11/11
