Brief overview of DECT Began as CCC Live Caption in 2003 Services expanded under new DECT Purpose: The Grant pays for Realtime captioning of Live classes Captioning of any video content Transcription of lectures, Podcasts, etc. Who is Eligible? California Community Colleges Distance Education and Online Programs

  5. Current Status DECT is fully operational Many colleges’ projects already funded Plenty of money still available Now accepting applications for Spring, Summer and Fall 2010 How can you participate?

  6. How to get funding for your campus… Identify needs on your campus Select a vendor and request a quote Complete and submit your application Receive approval from DECT. Send your order as usual to your vendor. Pre-approved Vendors will invoice DECT directly Pay other vendors directly and get reimbursed from DECT Tips from Kathy… Apply as often as needed. No set limit on how much you can request.

  7. Completing your ApplicationThe paperwork is simple. Let’s take a look at the forms…

  8. Simple 2-page Application:

  9. Application - Sections 1 & 2 Ideally the Primary and Secondary contacts will be from different departments (DSPS & Distance Ed for example). (These contacts will also sign Page 2)

  10. Application – Section 3 Term/Semester/Year = When the class will occur Apportionment Eligible? Distance Ed Per Title VCredit/no credit classes qualify. Hybrid classes qualify if 51% is distance or online. Inservices, meetings and non-credited community education classes do not qualify.What if you’re applying for several courses? Use page 3. This section is duplicated on page 3 for each additional Course. Let’s take a look…

  11. Additional Project Courses Page 3: Reproduce as needed List each additional course for which you are requesting funds.

Application – Section 3 Tips from Kathy:1. “Total minutes to be captioned” can mean: Minutes of video to be captioned Minutes of content to be transcribed Hours of Realtime Captioning (enter as hours)2. You’ll be getting a quote from your vendor. Be sure this total matches your vendor’s quote.

Application – Sections 4 & 5 Request a quote from your vendor to complete Sections 4 & 5.~ Send your vendor the specs of your project:Video Captioning: Video titles and runtimes Realtime Captioning: Schedule of classes ~ Your vendor will send you a quote ~ Use information from the quote to complete Section 4.

  14. Caption Application - Page 2 • The top of Page 2 is a brief, concise contract. • The bottom of Page 2 is the signature section.

  15. Signatures District Board-authorized Approver:A person who is authorized to sign contracts for your campusPrimary and Secondary Contacts: Same as you listed on Page 1

  16. How to submit your application Fax or email the form as directed on Page 2.

  17. Request for Reimbursement/Payment Tip from Kathy… Eventually DECT will need this form to process payments. Save time! Submit this form with your application. It’s EASY… • Same District Information • Leave the Payment Information blank. • Same 3 signatures as the Application • That’s it - Done!

  18. That’s it! Your application is complete! Fax or email to DECT for Approval • Application • Reimbursement/Payment Form* • Quote from Vendor DECT usually approves within a week Once approved, contact your vendor to process your captioning or transcription order. Your Pre-approved vendor will invoice the Grant directly.

  19. So that’s the application process Consider your Distance/Online Classes… Are your instructors’ videos captioned? Do they post lectures/podcasts without Transcripts? Do live classes have realtime captioning? ~ The Need is there. ~ The Funding is in place. ~ The Opportunity is NOW. …And as you’ve seen here, the process is DO-able!

  21. End of Term Report Tips from Kathy… At the end of the semester, DECT will request this report. The following is all you need for each course. Simple! (The information can be obtained from Academic Records or the instructor)
