  2. Program Outcome • Participants will be able to identify whether their community is ready for extension as well as the policies, procedures and best practices of the National Panhellenic Conference.

  5. Why Open for Extension • To meet the needs of a growing campus • To meet the demands of growing interest from students • To increase opportunities for interested women to be placed • To maintain manageable chapter sizes • To invigorate the community

  6. Why Not to Open for Extension • System is not stable • Anticipated decline in female enrollment • Resume builder

  7. Overview of the Process • Exploratory committee & data collection • Proper authority approval • Timeline • Announcing the opening • Receiving & reviewing materials • Hosting presentations & making selection • Marketing for new group • Colonization • Continuing support for installed group

  8. Getting Started with the Exploration • Keep your NPC Area Advisor and NPC Delegates informed • Form exploratory committee (motion/vote required) • Collect and review data • Is there a local sorority or interest group interested in NPC affiliation?

Data Collection • Size of current chapters vs. total – total needs to be adjusted to at least ACS in advance of extension vote • Recruitment trends and stats for past 3-5 years • Institutional growth projections • Interest in fraternity/sorority system • Potential obstacles (administration, housing, etc.) • Are current chapter sizes manageable? • Will an addition enhance the Panhellenic/campus? • Is community willing/ready to support a new group?

Opening for Extension • Proper authority is the Panhellenic • Delegates take motion back to chapters for discussion/vote • Continue open lines of communication with NPC, local advisors, I/HQ personnel • Delegates vote at subsequent Panhellenic meeting • ONE vote per NPC member group • If yes, continue formal extension process. • If no, review best ways to continue to support system.

  11. Opened for Extension • Contact NPC Extension Chairman • Provide copy of minutes with vote indicated • Determine how to announce extension opening • Inactive/dormant chapter “consideration”? • Stacking or a Recolonization agreement on file?

Stacking • Should only take place if the system intends or believes there will be enough interest to continue to grow in the next two to four years • Must be approved through a Panhellenic vote • During initial vote to open for extension or after presentations were made • Appropriate language is listed in the Manual of Information • Must be revoted upon when it is time to implement

  13. Panhellenic Responsibilities • Determine main institutional contact • Determine timeline for process • Select the extension committee • Determine qualities/criteria looking for in new group • Determine if you will allow exploratory visits

Narrowing the Applicants • Extension Committee should review applications using qualities/criteria determined & narrow field to NO MORE than three finalists • Extend invitations to finalists & schedule presentation days • Presentation days should include: • Identical itineraries • 60-90 minutes for their presentation (with 60 minutes of prep time prior to the start of their presentation)

Final Selection • Extension Committee members should meet to vote on their choice immediately after all presentations have taken place. • Panhellenic then must vote to approve the Extension Committee’s selection. • Note: The Fraternity/Sorority Advisor does not have a vote at any point in the process

  16. After Selection • Extensive and continued support of the upcoming extension is key • Get the word out • Work with colonizing group on plans to assist • Normal for new group to be allowed to recruit to total (ACS) – other considerations

  17. Getting the Word Out • Share the news in all venues • Ex. On websites, via social media, at orientation, etc. • Create ambassadors or dream team • Allow the colonizing group to share information during and observe primary recruitment

  18. Panhellenic Assistance • Cultivate a positive/helpful mindset throughout • Share campus culture/“secrets” • Recruitment techniques & norms • Financial data • Campus norms/events • Reserve space for various needs • Include in all Panhellenic communication and marketing • Foster advisor relationships/mentoring • Assist/support the consultant when she arrives on campus and throughout the colonization, even past installation • Get the fraternity men on board

Panhellenic No-No’s • Restricting them to an uncompetitive size • Holding them to recruitment rules meant for established chapters • Marketing/PR restrictions • Budgets/costs • Stored items • COB limitations • Don’t go back on assurances given during the extension selection process – put agreements in writing
