NBCDES Digital Document Project • Project goals are to: • Significantly reduce school work turn around time for our students. • Significantly reduce / eliminate lost student work. • Encourage and facilitate flexibility for teachers and students in completing course work. • Streamline and simplify our paper handling and storage procedures. • Significantly reduce or eliminate our use of paper. • Significantly reduce or eliminate our mail and courier costs. • Significantly reduce our carbon footprint.

NBCDES Digital Document Project • Managing Student Work Flow: • Work arrives at NBCDES in a variety of formats – print and digital. • Work is scanned / entered into the DDMS, named and key word tagged. • From there the work is digitally marked and managed. • Finally, the work is put into students personal folder and the student is notified via email that their work is ready to pick up. • Our goal is a two business day turn around from the time the work comes into our building.

Digital Tests • Test ordered electronically – date and time is set up. • Electronic delivery to test supervisor just in time. • Test supervisor receives encrypted test at arranged time. • Test is written & managed on a computer. • Test available to student for a specified time only. • Test locks after time expires & is then emailed back to NBCDES. • Test is then entered into the DDMS and processed.

Digital Report Cards • Process to start in the fall of 2009. • Receive report cards digitally as an attachment via email. • Delivered in .pdf (Adobe Acrobat Reader) format. • Report card delivered with password protection. • Deliverable to students & their families in digital form. • Copy sent to appropriate school.

NBCDES WWW Registration System • NBCDES will accept online registrations via the web starting with the 2009 / 2010 School Year. • Built in schools approval process • Verification email for the registrant. • Will change the process, but allow for greater accuracy & flexibility. • Will keep all parties in the loop. • Cannot complete different forms without including all necessary information in order. …

First Assignments • Complete first assignment of all grade 8 – 12 courses. • Each package contains the lesson, practice section & key, resources & send in assignment. • Available as a download from our school web site. • First assignments count as a significant percent of the course grade. • First assignments get students started immediately. • How a student deals with completion of the first assignment acts as a reasonable indicator of commitment to completing the course. • Course not billed until first assignment is submitted. • Used as part of the registration process. • Latest version always available online: • http://www.des.prn.bc.ca/firstassignments/ • Contact Jenny Davy with any issues: • jdavy@prn.bc.ca

SIRS (Student) Tracking • Allows for up to date tracking of student progress. • Only students from your school are accessible through your account. • Print of reports on demand for report cards, conversations with students and / or parents, to gather stats, … • Access is Internet dependant. • Windows & Mac Accessible • Installers, settings files and instructions are included on the Schools Package Flash Drive. • We will help install the software. Can be done remotely.
