This document outlines the enhanced process for managing emails received by the Health Department. Mary reviews emails daily, deleting SPAM and bulk mail. In her absence, a designated backup assumes her responsibilities. Non-English emails are translated, and responses are provided when possible, such as for inquiries about food handler classes. Emails that cannot be directly answered are forwarded to BCDHS staff for further assistance. If necessary, relevant contact information for outside jurisdictions is provided. The process ensures timely and effective communication with the public.

Emails Mary opens health department emails (healthdept@co.bergen.nj.us) on a daily basis (ie. mornings) If Mary is unavailable, assigned back-up will assume role of answering health department emails Emails are reviewed SPAM and Bulk Mail are deleted Review emails from earliest date Emails in Non-English language will be translated Respond to emails if able to provide an answer (ie. Food Handler classes) For emails that can not be responded directly will be forwarded to BCDHS staff If outside BCDHS jurisdiction, Mary will find HO phone number, address and fax and will send appropriate HO contact information to sender Review sender information, subject line, body of email Review contact list of Division Supervisors and related topics of interest Other department handles email request Forward email to Division/Program May receive an email that BCDHS staff can not address the email BCDHS staff will respond to email addressee with cc: healthdept@co.bergen.nj.us Go to Supervisor to clarify who to forward the health department email to Respond to email addressee with cc: healthdept@co.bergen.nj.us Collect data on response times
