Functionality • Filter • Email for recruiting • Export filtered list for tracking • Filter out people we have used recently • Export whole database • Add to database via bulk upload • Update database via lookup (last name or email) • Add or change info with notes • Delete with notes • Generate database statistics • Check for duplicate entries (via name or email) • Needs to keep changes for 1 year, then purge • Need to have a change log per each log in (who logged in and what was changed) • Need to have restore/backup points every time someone logs in • Must be duplicated for Japan database

  3. Categorizing the Users • 6 User Groups, determined by a formula • The formula needs to be built in to the database, so on import, new users are automatically categorized

Current Workflow Scenario • New Sign Ups • Customer fills out sign up survey in Survey Gizmo • UEG Receives email from Survey Gizmo that there is a new sign up • UEG exports new sign ups from Survey Gizmo to .csv file • UEG imports new sign ups into current database (separate tab) • UEG categorizes users based on a formula (this is currently done by hand and would like to be automated) • New sign up is sorted into current database – moved to active tabs

Current Workflow Scenario • Recruiting for a research activity • Find user type in database (sorted by tab) • Compose email using a template • C/P emails from database into BCC link in email (usually only email about 25 people at a time) • Track who I sent email to in a participant sheet (xls) for the project • Schedule participants who reply (tracked participant sheet) • Delete users from the database when emails bounce • Delete users from database who want to be removed • Currently no tracking around who has participated recently or multiple no shows

  6. Current Workflow Scenario • Bounced Email/Request to opt out • UEG receives bounced email or request to opt out (during a research activity) • UEG searches database to find user • UEG moves user info to another tab in xls w/note
