  1. Using the Helena Marketing Database via the Filemaker Web Interface Updated 21July09

  2. Access to the mkting dbase is thru www.helena.com/underground.htm. • You will be asked login into the Helena network. Use your email address and your email password. • Click the link to Marketing Database.

  3. This is the next screen you will see looks something like this. Choose “Helena Marketing”.

  4. Login with your first initial, last name (i.e. smathews). • This password is set to by Marketing.

  5. To make it easier during FG season, the system defaults to the list of FG registrants sorted by FG city as the initial view.

  6. Clicking the pages in the book flips you through the records. • NOTE: The browser’s forward and back buttons DO NOT navigate the records.

  7. If you look at the pull down menu under “Layout”, you’ll see the choice of two other layouts. You can also look at the Data Entry view with more info on a specific contact by clicking the gray arrow next to their name.

  8. This is the Data Entry view with more complete info on institutions and all the contacts there along with IDs

  9. You can do find requests on any of these fields. Just click on FIND button or the magnifying glass to enter find mode.

  10. From FIND mode, check the button that says STOP Institution and choose the FG city from the FG Cities drop down list. Click the Perform Find button. • This will pull up just a list of key institutions within 200 miles of a FG city.

  11. Clicking the A/Z symbol at the top let’s you sort records.

  12. FG invitations are sent to just #1, #2, POC and TEMP contacts under STOP. Contact phone numbers are in contact remarks if available. You can also see if anyone is currently registered for FG. • Turn the pages on the book to get to the next institution.

  13. By typing your comments in the yellow box, you can send literature requests or updated contact information back to Marketing. The system notifies us of new yellow box comments.

  14. Scroll right on the page and you’ll be able to see if we have an email address for a contact on file.

  15. Finally, there is also a List view to make browsing a lot of records easier.

  16. The navigation buttons at the top of each layout will also help you navigate your choices.
