  1. Prospector & MarmotCataloging/Tech Services George Machovec Associate Director george@coalliance.org Rose Nelson Systems Librarian rose@coalliance.org

  2. How is Prospector Built? • Uses INN-Reach Union Catalog software from Innovative Interfaces Inc. • Real-time updating of records from local systems – no double work in tech svcs • Generic (master) record • Agency code retrofitting • Box code for Marmot server • Institutional agency codes being added

  3. Record Types Transferred to Prospector • Bibliographic records (bcodes) • Item records (icodes) • including circulation status codes • Summary serial holdings records (scodes) • System excludes serial check-in grids • Order records (codes)

  4. What should be transferred? • Recommend transferring virtually everything including monographs, media, eresource records, govt docs, acquisition records • Transfer items even if you do not lend them to ensure discoverability (esp. important for eresources) • What not to transfer • On-the-fly circ records • Very brief temporary records (e.g. Marcive shipping lists) • Cataloging or backroom items that you don’t want anyone to know about

  5. Mapping of fields • Itype mapping – Will map your local values to a central set of values (one field to determine lendability) • Ptype mapping – Will map your local values to a central set of values (to determine who can borrow) • Circ status codes do NOT map so you must look at central set of values on Prospector Staff Website to make sure there is not a conflict

  6. You Control What is Contributed Value Meaning  - Contribute to Prospector; display in both Local and Prospector l Contribute to Prospector; display in Local OPAC; do not display in Prospector OPAC   n Contribute to Prospector; do not display in Local OPAC; do not display in Prospector OPAC   z Do NOT contribute to Prospector; display in the Local OPAC  s Do NOT contribute to Prospector; do not display in Local OPAC  g Contribute to Prospector. Display at Prospector, but do not show Local Site’s holdings. Display record with a general <SYSTEM> owns message: <SYSTEM> Resource. As a general rule in Prospector DO NOT use this value as it will suppress all associated item records for yourself and other sites too. o Contribute to Prospector. Display at Prospector, but do not show Local Site’s holdings. Display record with a general <SYSTEM> owns message: <SYSTEM> Resource. Do not display on Local OPAC.

  7. You Control What is Contributed • Marmot must work with III to determine if you will be using the default contribution/suppression codes with these record types or if custom ones must be defined • Profiling forms from III will be filled out to determine the details • What will local library do, Marmot office do and III do?

  8. How are Bib Records Matched and What Becomes the Master Record? • First match point is OCLC number with first 3 words of title • Secondary match point is ISBN or ISSN combined with first 3 words of title • If a match occurs the encoding level is checked (highest prevails) • If match occurs and encoding levels are equal then the precedence table is checked

  9. Other Prep Work • Make sure that leading ocn or ocm is stripped from 001 for OCLC records before contribution (discuss with III) • Make sure to keep 001 prefixes for non-OCLC records • Can determine what is in use by going to the OCLC number index in Prospector (actually just is an index of the 001 field) • Prospector has 13 indexes in Classic WebPAC Pro. Do not strip Medical and Childrens headings as we index them!

  10. Two Prospector Interfaces • ENCORE: Innovative’s next generation interface • Facets, tagging, word clouds • Ability to overlay more than just the catalog (e.g. repositories) • Graphical and very nice UI • Fully integrated and updated in real-time as changes flow-in to the union catalog • WebPAC Pro (Classic) • VuFind searches should transfer to Encore and Marmot WebPAC searches should transfer to Prospector Classic

  11. Staff Use for Prospector • Prospector Staff Website at http://www.coalliance.org/prospectorstaff/ • Telnet/Miladmin access available • Can run “Create Lists” • Can check the status of load queues • Staff telnet searches offers special views of associated data not viewable by the public • Contact Alliance office for logins • Statistics • Quarterly database statistics available on Prospector Staff Website • Borrowing lending statistics can be run in real-time at http://prospector.coalliance.org:4444/olinkpatrep/report2/0/

  12. Working with your Colleagues • Listservs • http://list.coalliance.org/archives/prosp-cat-l.html • http://list.coalliance.org/archives/prosp-circ-l.html • Committees • Prospector Cataloging/Reference Committee (meets every 2 months with phone call-in available) • Prospector Document Delivery Committee (meets quarterly with phone call-in available) • Important to be on listservs for system updates, questions, policy changes and collaboration • Committee participation is optional and Marmot office will have reps who can share information
