TYPES OF COURSES & PASSING GRADES • College (Requirements/ Elective) • => Passing Grade: D = 55 marks • Department (Requirements/ Elective) • => Passing Grade: C- = 60 marks • Specialization (Requirements/ Elective) • => Passing Grade: C = 67 marks DEPARTMENT OF IT STUDENT INDUCTION – Semester II 2013-14 ADVISING & REGISTRATION

  7. Role of the Advisor • Advising means assigning of courses to student. • Registration means selection of suitable section • Advisor can be approached by the students for any issues related to advising, registration ,add and drop, course withdrawal, repeating courses and in any issues related to the academics. • Meet the advisor at least once in a month • How ever the advisor cannot help the students to register during the registration Day.   8. Role of the Department Registrar • In case the advisor is not available, Registrars can help the students • Also for any issues related to the Registration system and Time Table issues , they can approach the registrar. • Registrar can support the student when they need to change the specialization. Advising • Students can choose their courses with the Advisors, however the prerequisite criteria need to be checked • Advisors will not register (select section) the students during the registration days.   12. English Language Test Criteria • Two ways: • Internal  English Language Entry Test for post foundation levels • External  TOEFL / IELTS DEPARTMENT OF IT STUDENT INDUCTION – Semester II 2013-14 ADVISING & REGISTRATION

English Language Test Criteria • Internal  English Language Entry Test for post foundation levels • Diploma Level (has two attempts): • Should not be under academic probation. • To be the level of a second year Diploma / second quarter) to sit for the exam for the first time (. • 3. To be the level of a second year Diploma / summer semester (If you do not pass the exam the first time (. • Second: Advanced Diploma students (his one attempt) • 1. Should not be under observation Academy. • 2. Be a level Advanced Diploma / second quarter (to sit for the exam if they do not pass the exam at the Diploma level). • 3. MIXING LEVEL • Students can take 4 courses only when they are in Mixing level. • Fifth course in mixing is added if the student has Accumulative GPA (Cum GPA) 3 and above in the previous semester. • Mixing can be done maximum of two times only. • Mixing undertaking form DEPARTMENT OF IT STUDENT INDUCTION – Semester II 2013-14 ADVISING & REGISTRATION

Article – 53 Repeat Courses Student can Repeat a Course to get better Grade Courses completed with Grade C or less than C for the first time New Gradewill be replaced with Old Grade regardless of whether it is higher or lower than the original grade Maximum of 3 Courses per level Appeal form for repeating courses DEPARTMENT OF IT STUDENT INDUCTION – Semester II 2013-14 ADVISING & REGISTRATION

  18. Article – 56 Postponement Student is allowed to postpone his/her study on medical or family reasons. Maximum of 2 Semesters during his/her stay at the College with the approval of College Dean Some exceptional circumstances a student can be allowed to postpone his/her studies for a third semester, after approval by the College Council.   19. ACADEMIC PROBATION:(ARTICLE 51) • A full time student will be under academic probation, if his/her SGPA is less than 2.00 in any semester. Accordingly, he/she will be allowed to register for only 4 courses in the semester and 2 courses in the summer. DEPARTMENT OF IT STUDENT INDUCTION – Semester II 2013-14 ADVISING & REGISTRATION

ACADEMIC PROBATION (ARTICLE 52) • To Clear Probation • Academic probation expires at the end of each semester when the students obtain a minimum SGPA and CGPA of 2.00. • Achieve CGPA >=2 , But Sem GPA <2 then, the Previous probation Finishes and the enter into a new probation DEPARTMENT OF IT STUDENT INDUCTION – Semester II 2013-14 ADVISING & REGISTRATION

CHOOSING A SPECIALIZATION • At the end of the Diploma year , when student is mixing with Advanced Diploma or Moving to advanced Diploma the student can approach the advisor and Fill the form for choosing Specialization • Specialization survey form DEPARTMENT OF IT STUDENT INDUCTION – Semester II 2013-14 ADVISING & REGISTRATION

Calculation of Cumulative GPA • GPA of all the courses in that level • If the failed course is passed next time, the first attempt is not included (Note :N) • If course failed more than once, Except the first attempt, other attempts are considered. • If the course is not considered for calculations , it is given as N in the Note. • If the student had changed the specialization and the non common course is given as NC.   32. Columns in the Transcript Note : N – not included in CGPA ,NC – Not credited, W – Course withdrawal Course Name Course Code 3 credit hours for all IT courses Each grade has a point .   33. OVERALL CGPA • If the student started the Advanced Diploma level from Semester I 2014-15 then ,OVERALL CGPA will not be considered for Moving to Next Level • ONLY Cum CGPA will be considered DEPARTMENT OF IT STUDENT INDUCTION – Semester II 2013-14 ADVISING & REGISTRATION

  34. Course Withdrawal • Student is allowed to withdraw only one course or 3 credit hours per semester. • A student is allowed to withdraw one course during the semester.   35. Who can withdraw? • Regular students who are registered for 5 courses can withdraw one course. • Probation students who are registered in four courses can withdraw one course. DEPARTMENT OF IT STUDENT INDUCTION – Semester II 2013-14 ADVISING & REGISTRATION

  36. Who can’t withdraw • Students who are having the last one course in the level. • Students who are not attending the classes (Non show given by the Lecturer) or Having 30% absence (Debar Note given by the Lecturer) • Students who are registered in less than required credit hours. (Example : Normal student in 4 courses and Probation students in 3 courses) DEPARTMENT OF IT STUDENT INDUCTION – Semester II 2013-14 ADVISING & REGISTRATION

  37. Student’s Absence Report • Student absence is entered in Student Management System attendance system and updated every week. • If any student deserve warning letters, they receive the message in their phones. • The student can be given 10%, 20% and 30%(Debar) warnings. • After the Debar, student is not allowed to attend the classes or take any assessments. • The final exam mark will be awarded as Zero.   38. Valid Sick Leave • The students can bring a Valid Excuse (Any official Document ) within one week. • The Document should have Signature and Stamp of the authority who issued. • If it is a Medical Paper from the Private Hospital it has to be stamped from Government Hospital. • Any Forgery in these documents will be taken to the Disciplinary committee.   39. Absence Excuse • Any valid document as excuse up to 2 days or any number of non consecutive days • Can be considered for conducting make up exams (Quizzes and midterm) • Need not require the approval from HOD/HOS • Attendance entry , Non show or Warning letters cannot be cancelled DEPARTMENT OF IT STUDENT INDUCTION – Semester II 2013-14 ADVISING & REGISTRATION

  40. Absence Excuse • Any Valid document as excuse for 3 consecutive days and above • Can be considered for conducting make up exams (Quizzes and midterm) without the approval of HOD/HOS • Can be considered for cancelling the attendance entry, non show given and warning letters only after the approval of the concerned HOS (as per the course) DEPARTMENT OF IT STUDENT INDUCTION – Semester II 2013-14 ADVISING & REGISTRATION
