  2. What is EMIS_R? • EMIS_R – • ODE Project • Redesign method of getting data to ODE • No more intermediate system • Old “EMIS” system will be obsolete • Data is pulled directly from source system in most cases • District controls process, not ITC

  3. SIF Agent vs. Flat Files • USAS SIF Agent • SIF = Schools Interoperability Framework • SIF Agent allows USAS data to be reported to ODE • Pulls data directly out of USAS via USAS SOAP service • Flat Files • Files in EMIS “Chapter 5” format • Used for information not pulled directly out of USAS • Files get uploaded into Data Collector • Then treated as just another source for the data

  4. USAS SIF Agent • Data is pulled directly from USAS using USAS SOAP • Accounts • Operational Units • Pulls from USAHIST.IDX if fiscal year closed • Dollar Amounts • Fund Type, Description • Other data always pulled from ACCT.IDX • Controlled by new “EMIS Reporting Year” in USASDAT/USACON

  5. Flat Files for Financial Reporting • USAEMS_EMISR.SEQ • Cash Reconciliation • Federal Assistance Summary and Detail • Civil Proceedings • District and Building Profile information • EISEMS.SEQ or File exported from EMIS-FFE • Capital Assets

  6. Data Collector Roles • Major Functions [Roles] • Upload “Flat Files” [Collector] • Collect and Prepare Data [Collector] • Review Error Reports and Data [Reviewer] • Certify and Submit Data [Submitter]

  7. Collector • Can: • Upload flat files • Collect data • Review error reports • Generate preview of reports • Review reports • Monitor status of collections and submissions • Cannot: • Submit data

  8. Reviewer • Can: • Review error reports • Generate preview of reports • Review reports • Monitor status of collections and submissions • Cannot: • Upload flat files • Collect data • Submit data

  9. Submitter • Can: • Review error reports • Generate preview of reports • Review reports • Certify and Submit data • Monitor status of collections and submissions • Cannot: • Collect data • Upload flat files • Prepare data

  10. Uploading Flat Files • Data Sources tab • Click “Other Data Sources” • Locate Data Source (folder) for correct period • Click “Manage” • Click “Upload File” • Browse to the file and click open • Click “Upload” • Can remove files by checking box and click “Delete Selected”

  11. Will see Data Source for each reporting period. Locate the correct one for Financial (Period H) and click “Manage”

  12. Should end up with just two files in here for Period H

  14. Data Collection Process • Collect (pulls data from source system/flat file) • Check Collection Progress • Prepare • Level I Validations • Preview (data in HTML or CSV format) • Repeat steps above as needed • Certify & Submit • Level II Validations (ODE cross-checks) • Repeat as needed

  15. Make sure both SIF Zone and correct Data Source are checked. Test Test Test Test Test Test Test

  17. When data is loaded and verified, click on certify and submit.
