  4. CHAPTER OFFICERSObjectives • Know the various office holders that are necessary for effective Chapter operations • Know the role, responsibilities, and function of each office holder • Know the need for the various officers to work as a team

  5. Elected Officers The following offices are elective: • President • Vice President(s) • Secretary • Treasurer • Membership Chairman/Director • Voice Chairman Other offices are by appointment by the Chapter President in consultation with his Executive through prayer and spiritual discernment

  6. The Chapter President Responsibilities: • Set Goals (in consultation with Chapter Executives and guidance from Sector Field Representative) • Establish right attitudes • Applies right leadership principles. • Ref. ALTS2 page 23

  7. The Chapter President Role • Leads Chapter members to be effective in their Christian walk and Chapter life • Always fellowships with Chapter members and encourages a spirit of harmony • Spends time in prayer and the Word before all Chapter Meetings • Fellowships and cooperates with other Chapter Presidents • Cultivates a team spirit with the rest of his Executives and Ghana Office officers

The Chapter President Functions • Leads by example – be punctual - be positive-minded • Good personal presentation • Prepares well and displays enthusiasm during Meetings • Extend multiple personal invitations for Meetings • Investigates and recommends suitable speakers • Displays genuine & friendly spirit towards attendees and members

  9. The Chapter President Family Life (Personal Life) • Priorities should be with God, Family, (and then) Other Pursuits • Must spend quality time through family devotions, study and life application of the Word, prayer, and outings for Fellowship Meetings

  10. The Chapter President Spiritual (Prayer) Life • Must maintain intimate relationship with Jesus • Must spend quality time in prayer • Must have heartfelt attitude toward God • Must spend and devote quality time in studying (and memorizing) the Word of God

  11. The Chapter President Professional Life • Must note and be guided that the most effective witness is the unspoken attitudes and actions in everyday situation • Must conduct his business by Scriptural principles • Must subscribe to and distribute Voice Magazine freely to target groups

The Chapter President Relationship with National Office (through Sector Field Representative) • Timely and accurate submission of information on Chapter activities for record updating • Ensures timely, accurate and regular payment/transfer of all funds • Targets peer groups and leaders who will relate to speakers testimonies and invite them to Meetings

  13. Vice Presidents • Vice-Presidents offer active support to the Chapter President and are also considered as Presidents-in-waiting. • If there are two vice-presidents then work schedules could be broken down

  14. 1st Vice President Role, Responsibilities & Function • Acts for the President during his absence • Oversees and coordinates Chapter training programmes and liaises with the Field Representative and National Director, Training on matters pertaining to training • Support the Treasurer in the area of Chapter monetary matters • Carry out other duties that may be referred to him by the President from time to time

  15. 2nd Vice-President Role, Responsibilities & Function • His function may include that of the proposed Chairman, Speaker Outreach to prepare, guide and encourage members to share testimonies • Oversees and coordinates matters concerning hospitality of guests and speakers • Supports Membership Chairman on welfare matters • Carries out other duties that may be referred to him by the Chapter President

The Secretary Role, Responsibilities and Function • Keep an accurate record of all Chapter affairs including Minutes of Executive, Business, Review, Annual and Special Meetings. • Advise members within reasonable period ahead of time and place of all meetings • Send out the monthly mailing of Newsletter and function invitations and other necessary information • Be responsible for keeping the mailing list up to date • Handle all correspondence • Be responsible for upkeep of all stationery, printing of letterheads, envelopes etc. • Prepare Chapter Meeting Reports and coordinating items for National Office with other Chapter Committee Chairmen

  17. The Treasurer Role • Bank all monies collected during any function or meeting • Keep accurate records of all financial transactions within the Chapter • Submit a written Treasurer’s Report (Income & Expenditure) at each Chapter Executive and Business Meeting • Settle all bills after approval of Chapter Executive or based on approved Guidelines. • Ensure that all amounts due to the National Office are promptly paid with advice to the Sector Field Representative • Keep good and accurate records of all chapter financial transactions • Set goals and lead the financial direction of the chapter • Prepare, keep and run a Budget for the Chapter

  18. Chapter Committees • Every member should belong to one but not more than two Committees that make up the Chapter. This ensures full participation, development and employment of all gifts for the common good of the Fellowship. • See ALTS Pg.103

  20. MEMBERSHIP COMMITTEE • MAIN RESPONSIBILITY • This committee is responsible for the growth of membership by getting men out to meetings and encouraging men to bring out unsaved men. • GOALS FOR CHAPTER GROWTH • Each member is expected to bring at least two (2) persons to the fellowship each year • The chapter membership must grow by at least 20% each year.

  21. The Membership Chairman Function • Develops a genuine caring and sharing attitude and prayerful support for the chapter • Fellowships regularly with all members of the chapter • Get feedback from members on chapter goals and gauge interests and enthusiasm of members for use within the chapter • Communicates chapter objectives to members • Trains, develops and encourages members • Encourage members to attend Zonal, Regional, National & International Seminars, Retreats, Men’s Advances, Conventions etc.

  22. The Membership Chairman Role • Lead the members into the life of the chapter • Provide leadership on behalf of the chapter for the members • Be a role model to other members, at home, in church and at workplace • Lead the members in recruiting other members • Conduct specific fellowship training programmes for new members • Work to advance membership goals set by the Chapter • Gain commitment from members to contribute to the life of the chapter and participate in chapter functions • Need to form a sub committee for Visitation and Welfare

  23. The Membership Chairman Responsibilities • Be sensitive to spiritual needs of members and others attending meeting • Sends registration information regularly and punctually to National Office through the Secretary and copied to the Sector Field Representative • Updates membership records and inform National Office of any changes to list • Look after and maintain a membership list and keep data on all members and send them birthday, wedding, greeting cards, congratulatory cards when the time arrives. • Follow-up and help new converts, know those seeking baptism in the holy spirit and needing healing or having special problems and send prayer requests on their behalves (where necessary) to the Prayer and/or Counseling Committee for further action

The Chairman, Voice, Literature & Tapes Role, Responsibilities & Function • Purchase and Distribution of Voice Magazines • Compile (in consultation with other Chapter Executives) and keep Chapter Voice distribution list. • Record all Main Speakers’ Testimonies and forward them to the Voice Editorial Board through the National Office. • Record all Short Testimonies and forward them to the Manager of the Fellowship Web Site through the National Office. • Encourage members to subscribe to Voice Magazines for distribution

The Chairman, Voice, Literature & Tapes • Record stocks, duplicates, distributes tapes • Ensure the recording of speakers testimonies or teachings • Mount Literature and Tape Table at all Chapter Functions and Meetings • Liaise with National/Regional Office, Literature & Tapes to stock, distribute and account for FGBMFI Literature and other material to members and general public

  26. Prayer Committee • MAIN RESPONSIBILITY • This committee is responsible for organising activities of prayer and fasting in support of all Chapter activities and programmes. • *This must be the backbone of the Chapter for a prayer-less Fellowship is a spineless Fellowship*

The Chairman, Prayer Committee Role, Responsibilities & Function • Prayer – organizes prayer network and prayer sessions • Coordinates with National Director, Prayer on matters connected with the prayer calendar of the Fellowship • Ensure implementation of prayer directives from the National Director for Prayer and the Filed Representative.

The Chairman Counseling • Supports ministration during Meetings • Leads in counseling of new converts • Handles follow-up of new converts • Responsible for discipleship classes • Organizes Holy Spirit Baptism and other spiritual needs of members. • Responsible for regular enlisting and training of counselors • Encourages new members to register and hands them over to the Membership Director • Encourages and train new members to share effective testimonies.

  29. The Chairman, Public Relations, Publicity & Hospitality • This Committee may be broken into two to three depending on the size of the Chapter • This Committee must also be chaired or handled by the other Vice-President depending on the size and membership of the chapter.

The Chairman, Public Relations, Publicity & Hospitality Role, Responsibilities & Function This committee must be in charge for the direction, organisation and implementation of Chapter Public Relations, Publicity & Hospitality issues • Coordinate the travel arrangements and accommodation of speakers and guests • Ensure adequate publicity for all chapter programmes directed at members and the general public • Liaise with the National Director, Public Affairs with regard to matters bordering on publicity • Ensure good relations exist between chapter and other chapters and also with other Christian Fellowships and Bodies • Ensure that banners are hoisted at least one week before proposed Meeting • Ensure reasonable honorarium followed by a thank you letter

  31. USHERING COMMITTEE • MAIN RESPONSIBILITY • Shall comprise men of cheerful and pleasant disposition who shall be hosts to receive and seat guests, take offerings, etc. and handle venue acquisition and preparations for all Chapter programmes e.g. revivals/retreats, monthly, weekly meetings etc.

Chairman, Meeting Support (Ushering) Committee Role, Responsibilities and Function • Recruit, train and assign members to meet guests and ensure that they are comfortable throughout the Meeting • Ensure good seating arrangement for successful meetings • Ensure prompt arrival and setting up of instruments of music group • Ensure good and effective PA System is available for meeting

  33. Chairman, Meeting Support (Ushering) Committee • Handle full registration duties at all our Chapter meetings. • Must give guests a warm and a hearty welcome and sit them as they arrive. • Help guests to find their way around, and lead them to their seats. • Shall be responsible for offering and checking of offerings, must keep the offering baskets and bring them along to our meetings. • Help stewards or Meals Committee members to serve efficiently where necessary. • Help guests find solution to any problems they may encounter e.g. lost items, poor hearing, gents/ladies, etc.

  34. Meals Committee • MAIN RESPONSIBILITY • This committee is responsible for meals - preparation, quality and service - at all our meetings especially the Breakfast, Luncheon, or Dinner Meetings.

  35. The Chairman - Meals and Ticket Committee Role, Responsibilities and Function • Plans the menu with the kitchen and negotiate the cost with the Hotel or Restaurant Management • Coordinate with the kitchen and ensure that meals are promptly prepared and served. • Supervise the sale of the Meal tickets and account to the Treasurer.
