  1. Information for Consultants Working With 2011 Candidate Schools: MYP

  2. Introduction You are the first consultants who will work with the new documents. So, before you reach out to the school make sure you do the following:

  3. Introduction Access IB Docs and read the school’s Application for candidacy. Download and become familiar with: • On IB Docs (http://ibdocs.ibo.org/iba) • Guidelines consultation process • MYP Guide to school authorization • MYP : Feedback on Application for candidacy: part II and Consultant report template • User instructions part II and consultant reports (2011) • On IB Website (www.ibo.org) • Guide to school authorization: Middle Years Programme (2010) • Rules for candidate schools (2011) • Programme standards and practices (2011)

  4. Introduction Some things have not changed: • we are still using IB Docs as the system to communicate with schools and educators • consultants offer 20 hours of remote consultation • consultants visit their assigned school at some point of the process • consultants write a report after the visit • consultants build on the same report at the end of the process • consulting has to stop with the application for authorization

  5. Introduction Some things have changed: • The guidelines ask you to log your hours • consultants who work with partnership schools provide 10% more time for each partner school • You cannot split the visit into two separate days • The report has a new format • Your consultation (20 hours per year) will extend until the school submits the application for authorization

  6. Revising the new process • The schools you will be consulting with applied in April 2011. • They completed the Application for candidacy online. • The application was read by educators and the feedback form they used automatically generated a letter granting candidacy.

  7. Revising the new process So, we ask you to complete the feedback form part II as if you were the reader, under the title Reading of the Application for candidacy, Findings for the report. You must click on Reading on the grey bar to start this process.

  8. Time to get started • Make sure you read the instructions on how to use the feedback form part II • Open the application for candidacy and read the application • Open the feedback form part II and begin working with the document • Post your comments or questions on the wiki

  9. MYP: Feedback on Application for candidacy: part II and Consultant report template We are asking consultants to complete this task in addition to the consultant section and upload to IB Docs for regional office review by 15 September 2011, prior to school access. • Bear in mind that only the practices that have to be in place for authorization appear on this document (part II). • You should remind the school to consider all the practices, ensuring that the ones that are not a requirement for authorization are in progress. • Please refer to pages 11 to 18 from the Guide to school authorization: Middle Years Programme.

  10. Reminders • Take the initiative and contact the school on 1 September 2011 (not earlier). • Reach out to them as soon as you possibly can; they are eager to hear from you • If you have problems establishing contact, call us immediately so that we can sort out the problem • Do not plan the consultation visit too early in the process. Refer to Guidelines for consultants - Appendix B: Determining when the consultation visit will take place.

  11. Reminders • Let the MYP Associate Melissa Whitlock know when you are planning the visit and request to be sent a travel form. • Bear in mind the travel policy: you must order tickets at least 30 days in advance for domestic flights and 60 for international ones. • Beyond the forms, if there are any issues with a school, contact the manager or associate manager!

  12. Payment • Although we ask you to log the hours of remote consultation, we will not be asking for evidence ; but do let us know if the school is taking up more time than is allotted. • Payment of the first 20 remote hours (USD500) will happen automatically at the end of the academic year (before 1 September 2012) • USD600 plus expenses will be paid after the visit and the submission of your expense claim form.

  13. Troubleshooting • If you forget how to log in to IB Docs, contact Gustavo Palermo (gustavo.palermo@ibo.org) • If you have problems regarding your expenses or honorarium, contact the programme associate Melissa Whitlock (melissa.whitlock@ibo.org ) or Milagros Barrera (milagros.barrera@ibo.org )

  14. We have discovered that… the forms do not work well with Macs. Some users have had difficulty using the review forms on Apple Mac computers not using the 2004 or 2011 versions of Microsoft Excel. Please contact us immediately if you plan on using an Apple computer.

  15. Thank you! For any question regarding the programme itself and programme implementation, contact the manager or associate manager Ted Williams at ted.williams@ibo.org or Sofia Dolega at sofia.dolega@ibo.org Jean-Pierre Fabien at jeanpierre.fabien@ibo.org
