  3. Seamless Student Information System (S4) Objectives Service Excellence • Seamless Access to System-wide Services • Enable Consistent Student Services Broadly Across the University • Provide Consistent Information and Improved Analytics for Decision-Making at the Campus and at SUNY

Seamless Student Information System (S4) Objectives Functional and Operational Efficiencies • Facilitate System-Wide Use Cases Including: • Seamless transfer • Reverse transfer • Cross-registration • Single University identity • University-wide degree planning • SUNY-wide student tracking through graduation • Smart Track • Common student billing • Early Warning • LMS integration • Part time Financial Aid • Enable Shared Services, Cost Avoidance and Cost Reduction

SUNY-wide Consistent Data at the Campus Source Definition of Terms Used • Data Dictionary: • A collection of data elements, includes a definition of and a set of allowable values for each data element. • Objective: To establish a SUNY-wide standard for consistent data from the source • Data element: • A unit of information (i.e. gender, ethnicity, etc.) • Data value: • Allowable characteristics of a data element (i.e. “M” for the male gender or “F” for the female gender) • Cross-walk: • Tying a unique or campus-specific data value to one of the defined SUNY-standard data values • Objective: To define a cross-walk to a SUNY-standard data value from any campus-specific data value

Additional Project Tasks: • Create a Governance Team whose primary role is to: • Review campus-specific data elements needed • Determine if a data element should be added to SUNY-wide data dictionary or be an approved campus-specific data element • Approve final draft SUNY-wide data dictionary (by phases) for official e-publication • Insure the ongoing integrity of the SUNY-wide data dictionary is maintained • Governance Team Members to represent: • ________________ ________________ • ________________ ________________ • ________________ ________________ • ________________ ________________ • Determine how best to structure a campus implementation of the SUNY-wide standard data dictionary? In Progress • Overview of Project Tasks (Phase I): • Establish a Working Team • Common Data Group for Phase I established as the working team • Chaired by Rick Miller, SUNY IR office • Campus and SUNY Members include: Barbara Moore, Gary Blose, Cynthia Snyder, Deirdre Dibble, Helen Ernst, Teresa Foster, James Dutcher, Jennifer Gray, Jon Brennan, Bill Junor, Leslie Rutkowski, Maureen Fellows, Rick Miller, Nancy Smith, Julie Petti, Sheryl Secor, William Grau • Review data elements and data values needed for Phase I • Completed by Common Data Group for Phase I • 3. Develop draft SUNY-wide standard data dictionary for Phase I data • Create list of standard data elements and their definition • Establish allowable data values for each data element • Being worked on by Common Data Group for Phase I • 4. Review draft SUNY-wide standard data dictionary for Phase I with: • Appropriate campus and SUNY functional areas • Appropriate campus and SUNY IT areas

In Progress • Additional Details of the Review Process (Phase I): • Develop repository for SUNY-wide standard data dictionary • Being worked on by Hilda Hardy • Introductory first memo to all 64 campuses • Share Draft Memo • Complete “Preview Review” with Volunteer Colleges • So far: Binghamton, Cortland, Jamestown Community College, Monroe Community College,Morrisville, New Paltz • Second memo to all 64 campuses requesting input on Phase I data

Publish final SUNY-wide standard data dictionary for Phase I • a) Until such time as the Governance Team has been formed and is operational, the Common Data Group for Phase I will serve as the authorizing body for the final publication • All future updates to SUNY-wide standard data dictionary will go through the Governance Team

Seamless Student Information System (S4) What It Is and What It is Not What does SUNY-Supported SIS Mean?: • SUNY-wide contract negotiations • Support, as appropriate, from University-wide Support Centers (ex. ITEC, SICAS, etc.) • Will consider compatibility and integration with future university-wide applications and services • Financial incentives, as available • Promotion with SUNY strategic partners (ex. Ellucian, Oracle) for common/similar functionality of their SIS solutions • DegreeWorks currently has more functionality with Banner • University wide funding model will apply

Seamless Student Information System (S4) Concurrent Projects Investigate Multi-Entity Processing (MEP) Banner • Develop ROI model with actual costs from several SUNY colleges • Attempting to secure funding to assist campuses with one-time implementation costs • Call for SUNY pilot participants (max. of 5 colleges) • One spot held for SUNY Environmental Science and Forestry Investigate Colleague Campus Move to Banner • Look at current Colleague costs and develop an ROI model • Better understand campus specifics • Meet with Rockland Community College – Dec. 5 • Meet with 5 Colleague Colleges – Dec. 18 • Erie, Finger Lakes, Onondaga, Rockland, and Empire State

Seamless Student Information System (S4) MEP-enabled Banner What is MEP-enabled Banner? • MEP = Multi-Entity Processing • Dave’s MEP = Multiple Entities With Processes What are the benefits of MEP? • Will enable sharing yet allow for unique campus configurations that have a direct effect on the processes • The majority of what campuses today consider customizations are simply configuration changes and are allowable in MEP
