QuickBooks: Working with Multi-User Mode and Company File Corruption There are many users who may encounter issues related to corruption or missing of QuickBooks Enterprise company file and sensitive data such as credit card numbers, social security numbers, etc. They were using QuickBooks multi-user mode, and possibly after the update of QuickBooks or when the Admin password was updated, all the users become unable to access specific data in the company file after they signed in. Common errors you may face:- 1. 'QuickBooks found a problem with the Customer: Job Credit Card Number field for {Customer Name}'. This field contains some sensitive information which needs to be fixed. 2. 'QuickBooks found a problem with the Employee Social Security Number field for {Employee Name}'. This field contains sensitive information and needs to be fixed.' This issue is a commonly known as the bug and was most likely to be caused by a QuickBooks update that enforced by an encryption policy, which will then produce an encryption error that happens after changing of Admin password. Since this password is used as a key for encrypting sensitive data, then a change in the password and resulting in re-encryption sometimes fails. This is the issue which is known by Intuit, but not all of their support representatives are acute in the solution. This problem may result in data loss for some or for all of the encrypted data in the file. And there is no way to restore it except using a backup prior to when this problem occurred. ●Best practices to use QuickBooks in Multi-user mode. Here are the steps for QuickBooks multi user setup :- 1.First of all, you have to open the QuickBooks Application. Don't open the company file from the shortcut to a .QBW data file. 2. Now, go to File, click on Open or Restore Company then Open a company file and select company file then click on Open. 3. Shutting down: Go to File, click on Close Company/Logoff as opposed to using the 'X' which is in the top right-hand corner of the screen. Improperly shutting down the company file may result in data loss. Now Exit QuickBooks. Important to note:-

  2. ●QuickBooks should never be left open overnight or even for a long period of idleness, as this will increase the chances of data corruption. ●When a company file is being used in multiuser mode, then the first person who will open the company file is the most important user which is according to Intuit's technical support representatives. If the session crashes of that user of QuickBooks, then a data integrity check must be performed as soon as possible.
