  1. E-MENTORING Introduction • Role: Program Manager • Configures the settings for the program • Invites/manages potential mentors • Manages agreements between mentor and mentee. The UNC Online Mentoring system provides the means for users to connect with program approved mentors. This presentation will demonstrate the workflow for each of the different roles involved in making the mentoring process successful. Follow this guide to learn the functionality and responsibilities associated with each role. • Role: Mentor • Invited and/or signs up for service. • Completes agreement with mentee. • Role: Mentee • Finds a mentor for their program • Completes agreement with mentor.

  2. Role: Program Manager – Logging In Program Manager Program managers will choose the UNC Members tab. Then choose your campus. You will be taken to your local campus Login Screen. Use your campus credentials (ID and Password) to login. You will be returned to the e-Mentoring System

  3. Role: Program Manager – Mentors Tab Under the “My Services” tab I see the “Manage Mentors” area with a listing of all of the initiatives I’m involved in. Within each Initiative I can see two tabs, Mentors and Programs. The Mentors tab shows a list of mentors for this initiative. But I haven’t invited any yet so it’s empty!

  4. Role: Program Manager – Invite Mentors To invite mentors to this initiative simply click the “Invite Mentors” button. I can invite an individual or upload as CSV(Comma Separated Value) file to send the same invitation to multiple people. Then type a friendly invitation message and click the “Invite” button. An email will be sent with an invitation code to each person.

  5. Role: Program Manager – Invite Mentors • Once invited, I will wait for the prospective mentors to complete their registration. Their status is displayed in the first column. • Status: • Invited – I’m waiting for the mentor to register or decline. • Pending Approval – I need to approve or deny the registered mentor. • Approved/Public – The mentor is approved and available for students to find. • Declined – The invited mentor declined to participate

Role: Program Manager – Programs Tab Under each initiative there is a Programs tab which displays all of the programs which I am involved with. • Each program has three sub-tabs: • Mentees – a list of invited mentees and their mentoring information. • Managers – a table of managers associated with this program. • Settings – Editable fields with language and information specific to the program including my contact information.

  7. Role: Program Manager – Programs > Settings The settings tab is where I control text and information that will be available to the mentors and mentees. Within the settings area I can edit things like the program overview language and contact information. If I’m not sure what a setting is for I can hover over the Help Icon and get a quick description. I can also set all mentoring relationships to require my approval here!

  8. Role: Program Manager – Programs > Mentees The Mentees area shows a list of mentees, their status and other information. You can search for mentees or filter them by Status, Cohort or Expiration Date. Under “Actions” you can View a mentee’s details and Activate or Deactivate them. Under “Agreements” you can view the mentoring agreement reached between a Mentor and Mentee. An Alert icon tells me I’ll need to review and approve a relationship before mentoring can begin. Mentee Six (Pending) Mentee Six (Pending) By using the checkbox next to each row you can select mentees and change their expiration, cohort or contact them via email.

  9. Role: Program Manager – Programs > Invite Mentees I can Click the “Invite Mentees” button to invite mentees to the program. I have the option to upload a .csv file (a sample file is available for download) of mentee info which I can then edit in the table grid displayed below. Or I can double-click in a cell just start typing in the table grid itself!

  10. Role: Program Manager – Programs > Mangers I could use some help! That’s where the “Managers” tab comes in. I can invite other managers to the program that will have the same functionality as me. I’ll just enter an email address to invite another manager by email. Then he or she can accept or decline.
