  4. Frequently asked questions about the online application • Which is the university’s ID Erasmus Code? The Universities which participate in the Erasmus+ programmearegranted with an Erasmus Code. The University of Crete has the following Erasmus Code: G KRITIS01. You may ask at the International Office, in order to find out what the Erasmus Code of your institution is. • I don’t have a European Health Insurance Card yet; or I don’t know if and how I can get it. What do I fill in at the relevant box? The European Health Insurance Card is a free card that gives you access to medically necessary, state-provided healthcare during a temporary stay in any of the 28 EU countries, Iceland, Liechtenstein, Norway and Switzerland, under the same conditions and at the same cost (free in some countries) as people insured in that country. In order to find out more information about the EHIC please follow the link: https://goo.gl/cJLNmcand contact the Erasmus/International Office. By submitting your application, if you haven’t applied for the EHIC yet, please write in the relevant box “to be sent later”; if you are not a European citizen, please indicate the contract number of the private insurance you make in order to have the same coverage as with EHIC. • What is the period of study? Usually the period of study is related to the academic calendar; so you can indicate the first and the last date of the semester, according to the dates of the academic calendar.

  5. Frequently asked questions about the online application • What is the transcript of Records? What do I need to submit? The Transcript of Records (results on the academic record) is the official document issued by the Academic Department you belong to; It includes your marks according to the period of study. Please add it after it has been translated in English. • I don’t have a foreign language certificate. What should I do? Aforeign language certificate is required (in English). It can be the result of an officially recognized English exam like Cambridge, IELTS, TOEFL or any other official document that proves your language level according to CEFR. Please see the document regarding the required language level skills for each Academic Department.

  6. Frequently asked questions on the Learning Agreement • What do I fill in at Table A? In table A, you must fill in the courses you will select at the University of Crete. You must indicate the course code, the course title and the ECTS credits. We strongly recommend you select courses that are equal to 30 ECTS totally. It’s a good practice to select at least 20-25 ECTS. Even if you need less ECTS for your University, we suggest you select 30 ECTS of courses at the University of Crete to maximize your benefit from your mobility. • What do I fill in at Table B? In table B, you must fill in the courses that will be recognized at your Institution, upon successful completion of the courses of Table A. In other words, Table B presents the courses that will be recognized atyour Institution, if you passed the courses at the University of Crete. It’s necessary to indicate the course code, course title and the ECTS credits, too. Some Universities, instead of recognizing courses, recognize a ‘mobility window’, which is also awarded with ECTS credits. • What if there is a difference in ECTS credits between Table A and Table B? The total amount of ECTS credits in table A should also exist in Table B. However, in case there are less ECTS in Table B than in table A, the difference should be justified at a table that you make – BEFORE - the table of the signatures. An example of justification would be that you have already accumulated the number of credits required for your degree and does not need some of the credits gained abroad.

Learning Agreement before the mobilityWe strongly recommend to use the official Learning Agreement of the European Commission which can be found at the website of the International Relations Department. The use of acommon document is suggested by all parties. This is how the first table of the Learning Agreement looks like: Fill in the boxes. Table A & Table B • In table A, you indicate the planned period of the mobility according to the academic calendar. • In table A you fill in the courses that you would like to follow at the University of Crete. You can add or delete rows according to your needs. Please specify the semester (winter or spring semester) and the ECTS credits of each course, too. • Don’t forget to indicate the language competence and the level you have prior to the start of the mobility • In table B, you indicate the courses that will be recognized at your institution upon successful completion of the courses you have followed at the University of Crete. • IMPORTANT: Read the learning agreement guidelines that mention: Educational components (Tables A and B) The study programme includes the indicative start and end months of the agreed study programme that the student will carry out abroad. The Learning Agreement must include all the educational components to be carried out by the student at the Receiving Institution (in Table A) and it must contain as well the group of educational components that will be replaced in his/her degree by the Sending Institution (in Table B) upon successful completion of the study programme abroad. It is necessary to fill in Tables A and B thoroughly before the mobility. Additional rows and columns can be added as needed. However, the two Tables A and B must be kept separated. The objective is to make clear that there is no need to have one-to-one correspondence between the components followed abroad and the ones replaced at the Sending Institution. The aim is rather that a group of learning outcomes achieved abroad replaces a group of learning outcomes at the Sending Institution. In countries belonging to the European Higher Education Area (EHEA) an academic year of full-time study is normally made up of educational components totalling 60 ECTS credits. It is recommended that for mobility periods shorter than a full academic year, the educational components selected should equate to a roughly proportionate number of credits (or equivalent units in countries outside the EHEA). In case the student follows additional educational components beyond those required for his/her degree programme, these additional credits (or equivalent) must also be listed in the study programme outlined in Table A.

  9. Table A & Table B • As a student at the University of Crete, you need to select courses that correspond to 30 ECTS totally. The University of Crete provides to Erasmus students the chance to follow the Modern Greek language course for foreigners. You have the option to add it in the Learning Agreement for 5 ECTS OR to follow it independently from the Learning Agreement. You will receive a certificate in the end of the semester . • According to the Erasmus rules: The Sending Institution should indicate in Table B the group of educational components counting towards the student’s degree that would normally be completed at the Sending Institution and which will be replaced by the Study Programme at the Receiving Institution. The total number of ECTS credits (or equivalent) in Table B should correspond to the total number of ECTS credits (or equivalent) contained in Table A. Any exception to this rule should be clearly stated in an annex of the Learning Agreement and agreed by all parties. Example of justification for a discrepancy in the total number of ECTS credits (or equivalent) between Table A and Table B: the student has already accumulated the number of credits required for his/her degree and does not need some of the credits gained abroad. In the case that the ECTS credits in table B are not equal to the ECTS in table A, pleaseexplain at the Annex that can be found belowtable B.

Finally, the Learning Agreement must be signed by 3 people: You are the one, the Erasmus Coordinator in your Institution/Department is the other and the Erasmus Coordinator of the Department you will be enrolled to at the University of Crete is the third one.   11. Frequently asked questions after the student’s arrival • When and where do I have to register in? You need to register inthe International Relations Office. The date of registration can be either the day that the semester starts, or the day that a welcome event has been organized. In case you arrive at our Institution later than the days already mentioned, please register as soon as possible. The International Office situated at the B2 building of the campus map; you can visit and ask for advice from Monday to Friday, 10:00-13:00. • Do I have to register in another service or Department? Yes, you need to register at the Secretary of the Department that you have been acceptable for studies. You need to provide:1 copy of your LA, 1copy of your ID and 1 copy of the registration form you will receive from the International Relations Office. After your registration at the Secretary, you will receive some documents necessary to apply for your student card & to gain access to student services. Please see the location of the Secretary at the campus map. • What do I have to do next? You are recommended to meet all the Professors who teach the courses you selected, as soon as possible. As the most of the provided courses are in Greek, you have to write essays in English. This is the reason why you need to talk with the Professors and agree on the topic and the requirements of the essay you are going to write. You may change a few courses but you have to decide it during the first 1-2 weeks.

  12. Frequently asked questions after the student’s arrival • How do I apply for the student card and where do I get it from? The documents received from the Secretary include your username and password that you will need to apply for your student card. In addition, we will send you a step-by-step guide which facilitates you to submit your student card application successfully. The student card will be sent to the Vodafone store you will select at the final step of the application and you will receive an SMS as soon as possible. • What is students web and E-class? Students web is a student platform where you can electronically register your courses, see your grades and submit requests to the Secretary. We recommend to learn how to use it. E-class is another student platform where the Professors upload material and notes related to their classes. • I want to change my Learning Agreement. What should I do? You should inform both Coordinators by e-mail, which will be sent to us (International Office), too, within the first 5 weeks of the semester. Then the changes should be agreed by all parties and signed within 2 weeks following your request. We can guide you on the way you prepare the “During the mobility”.
