  2. Desired Outcomes Participants will have: • Experience with key elements in Project Board • Understanding of who to contact for technical assistance

  3. Agenda • Overview, definitions, logging in (15 min) • Hands On Activities • Clientele Groups* (15 min) • Theme (15 min) • Project (10 min) • Activities (20 min) • Reflection (15 min)

  4. Ground Rules • Stay on topic/scenarios. • Respect different learning styles/speeds. • Focus on technical and content questions today. Questions and concerns about policy/requirements, email us! • Consider of the pro’s and con’s of an iterative and participatory approach – tooltips and help text can be improved! • Be aware of “resistance to change” attitudes and make suggestions on what will be helpful as this transition is made.

  5. Real System, Real Database Remember that this is the real system, so: • Any information you enter/edit will be saved in the real database. • You can go back in at any time • Some features still in progress. Changes will continue to be made but won’t affect the information you’ve saved

CASA to Project Board Changes • Project Board allows for academic titles other than CE Advisors to now report Extension Activities, clientele contacts, and participate in Civil Rights Compliance analysis (ANR Public Value) • Imported from CASA into new demographic categories. Requires review and cleanup! • CASA was a static model. Project Board much more dynamic/flexible. • Clientele groups “belong” to individuals rather than to a county. • Users can still see other clientele groups from other users assigned to the same counties(feature coming soon)

Clientele Group Actions (3 min intro, 5 min hands on, 7 technical assistance/discussion) If you had clientele groups in CASA: • 1) REVIEW, LUMP and ARCHIVE! • Lump counties, even across clientele groups if it makes sense. Lumping is recommended by Affirmative Action and can save users time • Archive old clientele groups 2) Link clientele groups to counties or statewide • If you did not have clientele groups in CASA: • New AdvisorsReview help text for instructions on how to develop clientele groups and establish baseline: http://ucanr.edu/sites/ProjectBoardHelp/ • Other Academic Titles:Send a chat if your PD includes Extension Activities and/or your clientele includes members of the public.

  12. Timeline Academics with ANR merit/promotion processes: • May 3, 2018: Project Board opens (ANR Portal) • October: Begin compiling AE/M/P packages • February 1, 2019: Due date in Project Board Academics with campus merit/promotion have a different timeline

  13. Addressing Concerns 1. Privacy 2. Different ”voice” for reporting vs. dossier 3. This change will take time! How can we help with the transition?

Next Steps • Tooltips, help text, help webpage will be continuously improved • Full Time Equivalent (FTE) reporting screens will be launched for June and August requirements • “Explore What’s Happening in Cooperative Extension” will continue to grow. Projects, publications, profile tags, etc. • Dossier will continue to be improved and any changes made to E-Book this summer will be incorporated • Academic Online Program Review and other Academic Human Resources websites will be developed
