What’s Different About the System? • IFSP/IEP/Child Find are all one system now • Feeds directly into IMS system so VERY important for information to be correct • Tab system which links to a data base (exactly like the IFPS system) vs. old WYSIWYG system • Will save time by putting information into multiple places.   3. Intro to WEB IEP 2013 Works! Doesn’t Work Any browser less than shown on left will NOT be supported Safari will NOT work Internet Explorer 8 will NOT be supported Chrome will not work iPad will NOT work except for progress monitoring app • Windows Vista or Windows 7/8 with : • Internet Explorer 9.x • Firefox 16.0.x and above • Macintosh OS 10.6 or newer and: • Firefox Versions 16.0.x and above WEB IEP 2013

Alphabet Soup… • Throughout the program, you will see… • H’s or ?’s = “Help Tips” (click for explanations and examples of how to complete the page) • L’s are look up fields (similar to previous web program); often required instead of typing something in • Even More….See “Codes” Handout at back of PPT WEB IEP 2013

  6. WEB IEP 2013 Main Menu • Must do the preferences first time you log on. You will be required to change your password the 1st time you sign on. Show the stricter password requirements with the ? next to password. Discuss importance of a secret question and answer to the user. WEB IEP 2013

My List and Student List My List – service provider list of students receiving active services – ‘roster’ OR list of students used by persons with PEEK access (cota, speech assistants) Student List (like View All Students)– building list of all students in the building chosen on top of page. Differences: My List is ALL the students being served by the service provider – a complete list – no need to change districts/buildings to see a list of ALL students. All districts/buildings are shown together WEB IEP 2013

Add, Transfer, Find • ADD/TRANSFER: Team Reps will use this to add a child moving in from out of state, for a child in the Child Find process, and for the transfer of a child from outside your building. • IMPORTANT: Documenting TRANSFER into a building is the responsibility of the RECEIVING building’s Team Rep….NOT the sending building • See “What Forms to Use When” for Move Outs • FIND: Team Reps WEB IEP 2013

IEP Overview----Look at the Tabs Differences in previous WEB IEP and 2013 WEB IEP: Family tab is first tab – old page A – student info and parent info CF – child find tab will show only dates from previous system Tabs A, B, Goals, F, G are similar to previous system H is still report card I is still a blank page Forms is the current State Forms (additional forms) Icon RSD is Required System Data – is bottom of A page on current IEP WEB IEP 2013

  11. System Features—Floating Menus • Floating Menus are at bottom of every page • Be sure to hit “Save” on each page---you will see a “system alert” confirming that you saved WEB IEP 2013

  12. EXAMPLE OF DIFFRENT FLOATING MENU You may also notice that the floating menu sometimes has a 4th choice of save & return. Tools will give you the spell check on some pages. Save & return will take you back to a main tab. This is found on the Final Exit Process. WEB IEP 2013

  13. System Features and Hints • You may see some new short cuts: as the ‘copy attend’ shown. This will allow information to be filled in without retyping it. • The H means “Hover Help” . What is explained depends on the page and field. WEB IEP 2013

  14. Starting a New IEP You will use the Pre-Plan button to start a new IEP. You will also use the Pre-Plan button to add the extra forms that you use after this IEP is validated (implemented). Ex: Meeting notice for conferences WEB IEP 2013

  15. Tabs After Pre-Plan Family tab is the first step in creating a new IEP. You must check and correct all the information each time you do an IEP! After pressing the Pre-Plan to begin a new IEP- these tabs will appear. CF is Child Find which will show the forms generated during the initial IEP Click on Tab A at the top of the page----see next slide. WEB IEP 2013

  20. Now all the tabs will appear on the top of the page just as they appeared on the bottom of the current WEB IEP program. Each tab may have sub tabs as shown above (Considerations / Assessments) WEB IEP 2013

  25. IEP CHANGES: GOAL TAB on existing IEP The previous goal will appear on the Goals tab. This is your comparable to Goals Overview in the previous WEB. To access the goal, click on the underlined text. You will not have a goal area on an IEP which has been moved to the system. You will not have a create date. You will have the graphs with a change. You will be able to create additional graph pages for each goal by choosing new and pressing the Load button. WEB IEP 2013

Choose the goal area and the domain- the dates and boxes on the bottom are added via the bottom of the G page There will be no district standards or benchmarks –but need to be incorporated in the new goal – show the link to the state standards on the first field-next slide Go back to Goal tab and choose new under graph Create the graph the same as current iep except you may have multiple graphs per goal as shown WEB IEP 2013

F Page Tab-Changes • Current IEP : For the 1st IEP in the 2013 Web IEP, the services shown on the F page for any type of IEP are being projected from the IMS system that has been entered by the data entry personnel. (looks like the BOTTOM of the page on the previous version of the web IEP.) WEB IEP 2013

  31. F Tab Page--Changes • There will be no minutes carried over and no description of the services carried over. • There will be archives of every IEP done on the electronic system. This is how you will access the current IEP’s F page descriptions and minutes. • The activities will not carry over from the previous IEP to the new WEB IEP because they are not entered on IMS.   33. 2013 WEB IEP F PAGE – CREATE Services Notice after you choose the type of service, on the far right side is an Add button. The service is not added until you press this button- ADD Notice the checkbox in front of the text ‘include on PWN’. If you mark this, the service will print on the Prior Written Notice form ONLY if you do not create the PWN until after you have added the servcies. The Code VLSP means that this service is provided by a validated service provider. This happens only after the IEP has been completed by a data entry person. This will read PPSP (Proposed Service Provider) until it has been validated by data entry person. WEB IEP 2013

  39. More F Tab Page Changes • The start date on the F page will come from the IMS that is entered by the data entry persons on that system. The dates will not necessarily match the current IEP date; however the printed date on the F page will reflect the current IEP date. • There may have been services on the F page that are not entered into IMS that will not carry over to the 2013 WEB IEP. Completing the F Page … LRE Information • For services requiring LRE minutes, (everything under services tab), • Information found right above description box • Enter total minutes per day/week/month for that service • Answer question “Is any of this time direct removal from General Education Setting?” • If yes, put in minutes per day removed. • NOTE: Only choices are now general or special education setting WEB IEP 2013

F Page Start Dates • F page may have multiple start dates • Start dates come from IMS system and represent LAST start date of that service (regardless of the description of the service) • Does not change with the IEP date • If new service is added, will reflect that IEP start date • If student on support IEP before instructional, then date will reflect start of support service.   48. Printing Can Be Tricky… Click on your web browser print settings if you are having difficulty printing the entire document on the page WEB IEP 2013

STAFF BANKS Your staff bank will be copied over to the new web IEP To add staff – you will see this screen Choose Add and Building and then press the DISPLAY button This will present a list of staff assigned to the building you are using Many of the staff banks are not configured correctly now: the service providers MUST be chosen from the Building Bank in the current IEP in order to function properly.   50. Adding Staff from IMS • When the bank appears, choose “add staff” • Choose staff in IMS • Type last name in the Name Field • Press Display • Name will appear • Put check in the Add? Box • It will add to your “My Banked” • You will then be able to use this person as a service provider. WEB IEP 2013
