  2. Goal • To provide important information to schools subject to Williams visits in the first four weeks of school concerning: • Sufficiency of Instructional Materials • Posting of Uniform Complaint and Valenzuela Notices • Facilities Maintained in “Good Repair” • Site Preparation for Annual Visits

Sufficiency of Instructional Materials • Definition of Sufficient Instructional Materials: • Grades K-6 Elementary: Each pupil, including English learners has a textbook or instructional materials, or both to use in the classroom and to take home in English Language Arts, Mathematics, History/Social Science and Science. • Grades 6-8: Same as Elementary with additional core subject areas to include pupils enrolled in a Foreign Language or Health course. • Grades: 9-12 Same as Elementary and Middle with the verification of adequate laboratory equipment for science classrooms. • (does not require two sets of books)

  4. Sufficiency of Instructional Materials (continued) • Visit will include: • Collection and Review of Completed Instructional Materials Survey. (total school instructional materials inventory & total student enrollment) • Collection and Review of Science Lab Equipment Surveys for high school grades 9-12. • Inspect 20-25% of classrooms, including English language development and special education classes, to ensure access to instructional materials in core subject areas for each pupil at home and in the classroom. • For elementary schools, visits include a minimum of one classroom at each grade level. • For secondary schools, visits include 20-25% of classes in core subject areas plus foreign language and health.

  5. Uniform complaint and Valenzuela notices • Education Code 35186 creates a procedure for the filing of complaints concerning instructional materials deficiencies, facility conditions, teacher vacancies or mis-assignments, or the lack of opportunity to receive intensive instruction and services to pupils who did not pass one or both parts of the high school exit examination by the end of grade 12.

  6. Uniform complaint and Valenzuela postings • Visit will: • Verify Uniform Complaint Notices are posted in every classroom outlining how to file a complaint. • Verify that in classrooms where the native language of 15% or more of the pupils is a language other than English, notices are also posted in that language. SDUSD has provided schools with Cambodian, Somali, Spanish, Tagalog and Vietnamese versions. • Verify a Valenzuela/CAHSEE Student Eligibility Notice is visibly posted in the front office of every high school. • Verify access to the Uniform Compliant Form used to file a formal complaint is available upon request in the front office of every school.   7. Facilities inspection tool (FIT) • Williams Legislation requires school facilities to be maintained in “Good Repair” as defined by the Facilities Inspection Tool (FIT) • Visit will: • Review site annual self inspection which includes 100% of classrooms and 100% of common areas. • Inspect 20-25% of all classrooms. • Inspect 100% of all common areas.   8. Prior to VisitSite Requirements • Prior to Williams/QEIA visit, sites must submit to the Instructional Material Office: • School map with total number of classrooms, room numbers and grade level written on map. • Daily time/bell schedule with start, end, lunch times and modified schedules noted (including block schedule days) This items can be faxed to (619) 542-5796 or emailed to instmatlmail@sandi.net.   9. Day of VisitSite Requirements • ALL SCHOOLS: • A place for the Williams team to meet prior to and after the visit. • Principal participation in pre-visit and post-visit meetings. • Facilities representative and school staff available to assist. • Annual site completed Facilities Inspection Tool • Total number of classrooms (may be written on map). • Completed Instructional Materials Survey (district generated) All forms & information are available at this Williams Visit Website.

  10. Day of VisitAdditional Elementary Site Requirements • Elementary schools must also provide: • Current Enrollment by Grade Level (Power School). • List of Teaching Staff by Grade Level with Enrollment (Powerschool Master Schedule sorted by Course #). • UCP Postings in All Classrooms in appropriate languages.

  11. Day of VisitAdditional Middle & High School Requirements • Middle and High Schools must also provide: • Enrollment by grade level. (Powerschool) • Four copies of most current (day of visit) Master Schedule with course titles, room #’s and enrollment in each period for ELA, ELD, Mathematics, History/Social Science, Science, Foreign Language & Health courses. (Powerschool) • Four copies of school map with room numbers identified. • HIGH SCHOOLS Only: Williams Science Lab Worksheet completed for each science laboratory classroom. (SDCOE generated form). • UCP Postings in all classrooms & Valenzuela/CAHSEE Student Eligibility Notice in high school front offices.
