  4. Paper Test Administration Reminders Pre-ID Label Pre-ID Labels • Sent to districts that selected Pre-ID labels in TIDE. • Must be applied to answer documents for processing. District/School Labels • Applied to answer documents for students who do not receive a preprinted answer document or Pre-ID label. • Demographic information must be bubbled on the answer document for these instances. Paper Test Administration Reminders • MCA/MCA-Modified • MTAS Paper Accommodations for Online Testers • There are no answer documents that are used along with the accommodated materials • Students respond directly into the accommodated test material. • Responses are entered into the Data Entry Interface (DEI) before returning materials to DRC • Charges will apply if DRC has to search for a test book once returned Entering Student Responses into the Data Entry Interface (DEI) • Submit LCI data and enter student scores into the DEI before returning materials to DRC • Charges will apply if DRC has to search for a test book once returned Title I Manual – pgs. 46-47, and 49

Paper Test Administration Reminders • Written Composition GRAD Typed Responses • Print a copy of the student’s writing response • Write “Typed Response” on the applicable pages of the answer document using a Number 2 pencil • Write the answer documents lithocode number on each page of the student’s writing response Lithocode Number DAM– pgs. 36-38

Paper Test Administration Reminders • Written Composition GRAD Typed Responses (cont.) • Cut out and tape the student’s response into a scannable answer documents. • Only responses inside the box will be scored. • Tape securely to the answer document by applying tape to all four sides of the typed response • Processing will be delayed for typed responses that are not taped within the scannable answer documents. • Return with other scorable materials DAM– pgs. 36-38

Returning Paper Test Materials • Test materials may be returned from either the district or the school as determined by the district during the Supplemental Information window in TIDE • If the ship-to-district option was selected and the answer documents are returned to DRC from the school, the district needs to provide labels to the School Assessment Coordinator (SAC) • If the ship-to-school option was selected, each SAC must schedule pickup arrangements directly with UPS. If answer documents are returned to DRC from the district, the school needs to provide labels to the District Assessment Coordinator (DAC). Title I Manual – pgs. 51-55; Appendix B

Returning Used Answer Documents Reading and Mathematics MCA and MCA-Modified • Arrange all used answer documents, including used grade 3 test/answer documents, by school. • Multiple grades/subjects/tests can be packaged together. • Verify that ALL answer document have: • Accurate preprinted student information, or an • Accurate Pre-ID label attached, or a • BLUE-STRIPED district/school label attached • Student demographic information bubbled • Place all used answer documents in the shipping box(es) provided by DRC. • Grades 3-8 answer documents must be packaged/shipped in separate boxes from grades 10 and 11 answer documents Title I Manual – pgs. 51-55; Appendix B

Returning Used Answer Documents Reading and Mathematics MCA and MCA-Modified • Grades 10 and 11: Ship completed answer documents back to DRC as soon as the main testing has been completed (April 19). Make-up tests should be shipped by May 3, 2013. • Grades 3-8: Ship completed answer documents back to DRC by May 8, 2013. • Districts are encouraged to return materials as soon as tests are completed to facilitate the timely return of results. Materials from make-up days may be sent in a separate shipment. Title I Manual – pgs. 51-55; Appendix B

Returning Used Answer Documents Written Composition GRAD • Grade 12: Districts are encouraged to return completed answer documents as early as the first day after the first testing date and no later than the Friday after the first testing date (April 19). • Grade 9: Ship completed answer documents back to DRC by April 26, 2013. • Districts are encouraged to return materials as soon as tests are completed to facilitate the timely return of results. Returning Secure Materials • MCA/MCA-Modified • MTAS Items that must be returned: • Unused grade 3 test/answer documents • All test books • All accommodated test materials • Large print and Braille test books, mathematics/science scripts, mathematics CDs • Test Administrator’s Notes for Braille • Any voided answer documents with student responses that are not to be scored must be returned in the plastic bag marked “Voided Answer Documents Do Not Score.” Items that must be returned: • MTAS Task Administration Manual(s) • MTAS Presentation Pages • Adaptions to Task Administration Manual(s) and Presentation Pages Title I Manual – pgs. 51-52

Returning Paper Test Materials Carrier • UPS Ground – (866) 857-1501 • Schedule your pickup at least one day in advance. • Inform them that you have UPS-RS labels; have them available. • If needed, additional labels can be ordered during the Additional Orders window in TIDE. • Provide an estimate of number of boxes returning • Contact the AIR Help Desk at 1-877-215-8719 (press 2) if you have questions or would like to report any problems with scheduling your pickup. Returning Paper Test Materials Answer Document Status Report • Available in the Track Shipments tab under Orders in TIDE • Details answer documents that have been processed by DRC • Assists DACs with tracking the return of used answer documents • Allow at least 5 days after answer documents are shipped • Updated weekly beginning April 26, 2013 • Contact the AIR Help Desk at 1-877-215-8719 (press 2) if you have questions or would like to report any discrepancies. Contact Information • Contact the Help Desk by phone at 1-877-215-8749 • When calling the AIR Help Desk, you will be prompted to “Press 2” (DRC) for information about printed materials and shipment procedures; “Press 1” (AIR) for all other questions. • September–May: Monday–Friday, 7:00 a.m. to 6:00 p.m. • June–August: Monday–Friday, 7:00 a.m. to 4:30 p.m. • Saturdays during the Reading and Mathematics GRAD retest windows, 7:00 a.m. to 12 noon • Contact the Help Desk by email at MNHelpDesk@air.org
