  3. First contact with host • Assign a communications officer • Choose three days/times • Email host & ask for their preferred day/time • Wait for reply! • No reply – phone them! • Reply to the reply!

How are you/we going to get there? • Content • Branding (logos, colours, pictures) • Website design / development • Training (e.g. how to use the website) • Testing • Search engine optimization • Frequent team / client liaison (scheduled meetings, emails) • Milestones • Competitive analysis / research • Database design • Etc – NB: will be different for each project!

  10. Before the meeting • Go over questions • Assign questions to each person • Assign 1 person to be notetaker • Talk through each question • What info do you need to find out? • Arrive 10 minutes early if possible(but no earlier)

  11. Things to consider • Dress smart/casual • How are you going to get there? • Team member absence • Cancellations • Laptop for notetaking • Be prepared – print out questions, etc. • If they offer tea/coffee – what do you do?

  12. Stage 2 Situation Report • Deadline Thursday 1 December 2011 2pm • That’s only 15 days away...TOP TIPS: • Start early • Split tasks equally • Proof read printed versions • Meet weekly outside of ISP session • Ask supervisor for help/advice/suggestions

Assigning Tasks • Stage 2 report – split equally • Web projects • ITMB/BABIS have done Systems Dev/ITTW • Competitive analysis • Lo-fi prototyping • Photoshop (logo, design comps) • Pasting in content & formatting (CMS? WordPress?) • HTML/CSS • Business students should know this... • Or be willing to learn  • This is a learning module • Don’t do all the web work yourselves

Assigning Tasks • Database projects • MS Access might be best – research • Database modelling • Diagrams/research/UML/etc. • Use the business students’ knowledge here! • Research projects • Look into documentation standards/templates, e.g. Feasibility reports • Be prepared to do a LOT of reading • Report writing best practices • User research – surveys? questionnaires? testing? • SharePoint projects • UWE’s integration/implementation of SharePoint • All learn SharePoint together

Stage 2 Situation Report • Create a team from the students you have been matched with and define a team working methodology • Create an initial project plan and define a progress monitoring and review methodology Who’s who? Project leader? Skill sets Communication Team contact schedule Gantt charts? Milestones? Attendance chart? Task completion chart? Review policy?

Gather data and opinion on ICT in your host unit Make sure you get answers to these at your first host meeting.

Analyse and model ICT in your host unit in its UWE context 14. Analyse and model current inter-relationships between ICT, IS and the host unit in its context Modelling tools - What? Why? Diagrams? Flow charts? Bullet point lists? Stakeholder analysis? IT – hardware/software? System maps?

  20. Stage 2 Situation Report 15. Gather data and opinion on technological opportunities and business drivers for change in information systems in your host unit 16. Analyse and model possible future inter-relationships between ICT, IS and the host as an organisational unit in its context 17. Evaluate and prioritise alternative projects for change in IS in your host unit Where are you now? How could this project help the host? Describe & discuss possible ways to solve the problem - Pros/cons of each?

  21. Stage 2 Situation Report Which project idea is best? Which one do will you actually do? WHY? 18. Formulate a recommendation and proposal for one such project that you might take on as a project team in stages 3 and 4 19. Identify any other relevant recommendations, actions or issues for the team or the host arising from any of the above. 20. Synthesise and integrate all relevant aspects of the outcomes of all the above tasks in a form that is relevant and meaningful to your host. How could this project help the host? Make it interesting to your host.
