Streamlined Purchase Entry for School Libraries: Quick Entry System Overview

In July 2013, the SCORE system was upgraded to include the Quick Entry method for school library purchases. This new approach accelerates the data entry process by condensing inputs onto fewer screens, simplifying the task for users. Once logged in, select the year and vendor, choose the product from the alphabetical drop-down, and input related information. The Quick Entry method not only saves time but also allows for efficient management of renewals and new products. Users can view their submitted orders easily and provide feedback to enhance the service continuously.

A New Way to Enter Purchases In the Fall of 2012, SLSA had the SCORE System upgraded with a new method for entry of information about what each School Library System has purchased for the school year. The method is called Quick Entry because it shortens the time you need to enter purchases by condensing the information onto fewer screens. You also now have a method for reporting purchases not priced through SCORE.

  3. Login at http://score.vmsaccess.com/Login.aspxUnder Activities find the Quick Entry Button Carefully select the year and the Vendor from Drop Down menus. Vendors are in alphabetical order.

  4. Choose the product name Select the product name from the drop down menu. Products are listed in alphabetical order.

  5. Enter Related Information and Save the Entry If this is a new product or new vendor note names here. (You MAY make notes like the school names or that it is a small school price. ) Click for renewals The total costs are calculated for the entry when you hit Quick Product Entry. Click Quick Product Entry to save the product purchase information.

  6. Once you have added the purchase, you may enter another product or enter the same product with a different price - Say, the renewals at a different price than the new subscriptions. The entered purchases show as you work with each vendor. If you review the entry and see a mistake, use the Delete button before you hit the Submit Quick Order button. Click Submit Quick Order when you have finished with a vendor or if you are finishing a session.

  7. The Submit Quick Order button clears the screen and give you a message: “Thank you for submitting your order.” Now it is easier to work with a new Vendor. Just use your drop down menus again.

  8. Under Purchase List you can view the orders you have entered under Submitted Purchase Lists in the lower grid on the page. Click Viewto retrieve your list. The list appears here.
