Classification & Compensation Study • Public Sector Personnel Consultants • Classification: Job analysis • Compensation: Market Survey & recommendations for new Compensation Methodology • Compensation Committee: representatives from Classified & Professional/Technical Employee Associations, and Administrators

For all Classified, Prof-Tech employees and AE Instructors Not for full-time faculty, adjunct, IA’s, CA’s, or Administrators Position Analysis Questionnaire (PAQ) 100 Interviews to be conducted Consultant will make recommendations for classification changes No PAR process this year – use the PAQ Classification Study

Classification Study • What is a PAQ? • PAQ is a form that asks detailed questions about ACC jobs • Every Prof/Tech, Classified employee and each AE Instructor completes a PAQ • Five Sections in PAQ: • Section I: All employees • Section II: Employees who are supervisors • Section III: Immediate supervisor review/approval • Section IV: All next levels of supervision • Section V: Final level of supervision (Deans, AVP’s, VP’s)

  5. Classification Study • Timeline Nov 14-18 Supervisor Information Sessions Nov 28-30 Employee Project Briefings Nov 28-Dec 9 PAQ’s completed Dec 9 – Jan 4 Supervisors review, comment, approve PAQ’s Jan 5 PAQ’s should be in HR Jan & Feb Consultant reviews PAQ’s March Appeal process

Classification Study • How is the PAQ completed? • Download from web & Save to PC • Type the answers (Section I, Section II) • Print & give to Immediate Supervisor for review, comments, and approval • Download, type, print only the Section III pages, & sign • Staple Section II pages to Section I & II • Forward to next level(s) of supervision for your department • Repeat for Section IV and V • Send to HR in departmental order

Classification Study • Employees who share the exact same title and the same supervisor may complete a PAQ as a group • All employees must sign the PAQ to show agreement with it • All names must be listed on Sections III, IV & V to identify the PAQ for the Consultant • Supervisors at all levels may NOT change employee answers • Supervisors may agree or disagree and explain in comments

Classification Study • HR’s Role: • Communication about the Study • Arrange Supervisor Info Sessions & Employee Project Briefings • Facilitate the PAQ process • Compile all PAQ’s, review for completeness • Log and track PAQ’s • Ensure Consultant has every completed PAQ form • Arrange Interviews for Consultant • Review Consultant's recommendations

Classification Study • Employees who refuse to complete a PAQ form, will not be eligible for the appeal process • Without a PAQ, the job description is the only source of information for the Consultant’s review • PAQ forms are to be completed on employee’s regular work time • All Employee Project Briefings & Interviews are on regular work time

  10. Classification Study –PAQ Section I • Employee’s Name MUST be on all Sections of PAQ • As answers & comments are typed, the PAQ will “grow” • Section I: questions for all employees about the work they perform • Page 1: employee & supervisor ID & contact information

Classification Study –PAQ Section I • Page 2-17: questions about the job Topics include: job purpose, work activities (duties), information sources, equipment & tools used, physical requirements, environmental conditions, work assignments, training & experience (special questions for IT & IRT employees), authority, & interaction with others. • Page 17: end of PAQ for non-supervisory employees • Print & staple Sections I, II, & III, sign Section I, And give to immediate supervisor • (Section II – leave blank if non-supervisory employee, complete it if you are a supervisor)

  12. Classification Study –PAQ Section II • Section II (p.18) Supervisory Questions • Direct Reports, Indirect Reports • Supervisory responsibilities • Page 20: End of Section II • Print PAQ, staple & sign (leave Section III attached) • Give Sections I, II & III to immediate supervisor

Classification Study –PAQ Section III • Section III “travels” with the PAQ Document • Immediate Supervisor reviews employee’s PAQ • PAQ Options; • Access PAQ document on-line, print only the pages with your comments -OR- • Attach a Word document with your comments, but sign Section III on PAQ • Make comments, agree or disagree (Discuss with employee if disagree) • Ensure employee name and your name & contact info is on Section III

Classification Study –PAQ Section IV • Section IV is for next level(s) of supervision within your department, as needed, that are not immediate supervisor, and not Final level of approval • Section IV may be optional in your department • Access the Section IV PAQ Document on line, type your comments, print & staple them, ensure your name and the employee’s name is on Section IV, forward to either the next level supervision or to the final level of supervision

  15. Classification Study –PAQ Section V • Final Level of Supervision • Review the PAQ • Access the Section V document on line • Type your comments, print & staple to the PAQ, sign Section V • Ensure names and contact info is on Section V • Organize all PAQ’s according to organizational chart for your department, and send to HR Compensation
