End of Year Procedures

This document outlines the end-of-year procedures for managing special education progress reports and portfolios. Progress reports must be updated every 4.5 weeks and a complete copy filed in the student’s cumulative record at the end of the IEP cycle. Portfolios will be bundled and forwarded based on the IEP cycle's timing. If a student exits with a standard or advanced diploma, their portfolio contents will be provided to the parent. Special diploma students will retain their entire binder until after the 10-day count of the next school year. Documentation of receipt by parents is required.

  3. Progress Reports • Progress reports updated and filed in portfolio EVERY 4 ½ weeks • At the end of the IEP cycle, a full updated copy (with all eight updates) will be filed in the cumulative record.

  4. Portfolio Procedures for End of Year • If the end of the school year corresponds with the end of the IEP cycle, bundle all content (not tabs) and file in the back of the portfolio binder.  Entire binder is forwarded to the next grade/location.  • If the end of the school year DOES NOT correspond to the end of the IEP cycle, the entire binder will simply be forwarded to the next grade/location. • If the student is exiting school with a standard or advanced diploma, the contents (not tabs) will be bundled and provided to the parent/adult student. • If the student is exiting with a modified or special diploma, maintain the entire binder until after the 10 day count of the 2012-2013 SY.  • Should the student return the portfolio collection will continue.  • Should the student choose not to return, the portfolio contents may be bound and provided to the parent/adult student. **Portfolio bundles will be maintained for one year, then provided to the parent. **Case managers should maintain documentation that portfolio contents are received by the parent/adult student.
