Efficient Ordering Processes Brandon C. L. Rector MSW Vaccine Distribution Manager NC Immunization Branch
Why is it important? There is no such thing as free vaccine • Expired vaccine • Shipping costs • Ineligible vaccinations • Future interface with ordering system
To avoid vaccine delays • NCIR Users should verify the following prior to placing an order: All recent orders have been received (no orders are “In Process”); All inbound vaccine transfers have been accepted; All expired doses of vaccine have been removed from your inventory; and all administered doses have been reported to NCIP (in NCIR or on Vaccines Administered Logs).
Report doses administered from inventory as “new immunization entry”
What to order? Replenish a 3 month supply Previous 3 Months Current Inventory Order 20 doses!
Note Exceptions in “Special Instructions” • Upcoming mass clinics • Refrigerator size • Inventory expires <1 month
Remember to ORDER appropriately: • Outbound transfers must be shipped • Receive inbound transfers • Document all doses administered • Expired vaccine should be removed from inventory • Request vaccine quantities based on suggested order quantity (Usage - Inventory On Hand = Suggested Order Quantity)
