  3. Steps for Activating your MSU Moorhead Account and Creating your Travel Profile

  4. https://msumoorhead-travel.reardencommerce.com Note: Once you have Created a New Account, An Activation Email will be sent with Login Instructions. From this Site Login Page, Click the Link Create a New Account. (Do not enter a user name or password on the initial login page). Enter all Required Fields on this page. Including: your first and last name as it appears on your photo ID and your MSU Moorhead email address. Create a unique User Name (email address recommended), and a Unique Password. Click Create an Account.

ActivationE-mail • New User • Activation Email • Use the Link Get Started Now in the email to activate your account. • Complete the registration process by entering the requested profile information, making note of required fields (fields marked with an asterisk) and SAVE • all entered Information. Click the link Get started now to begin the activation process

New User- Compass Online Booking Tool If you are a new user to Compass and do not receive the activation e-mail After Creating a New Account for the first time, Please Contact: Travel Leaders eCommerce Online Support: 866-502-1926 or e-mail: ecommerce@travelleaders.com The following slides will take you through the process of activating your travel profile after requesting an Account from the MSU Moorhead site login page.

  7. Register your Account Profile fields marked by an asterisk are required fields to complete Step One: Enter Profile Information

  8. Register your Account Continue entering profile information. Travel preferences can be updated at any time. Information entered in your profile is viewable by a Travel Leaders’ agent. Updates to profiles are “pushed” to the agency. Be sure to SAVE information entered on each profile page

  9. Register your Account – Additional Information Additional Information can be entered on this page of the Registration Process. This information is not required but can be entered if Applicable to the Traveler.

  10. To Log into Compass once your account is activated use the link below. You may save this link as a “favorites” for easy access. • Log into Compass - https://msumoorhead-travel.reardencommerce.com • Log in Name - University Email Address is recommended. • Password -Unique password created upon activating your account through the activation e-mail Accessing

  12. ‘Company News’ provides University specific communications and a web demonstration of the Compass Online Booking Tool ‘Company Resources’ offers links to Travel Websites and University specific information; including a link to the MNSCU Travel Portal Hours of Operation & Contact Information for online booking help and agent assistance

  13. After completing the activation, you are directed to home page. Click on the Profile Link before booking travel and complete the additional areas of the profile

  14. Main Profile Page with links to all Profile features Note: Users should review ALL profile pages for additional features not previewed when activating your account. This includes payment information and travel planner delegation.

  15. First, middle and Last name fields must match your photo ID used for travel due to TSA Regulations Users are NOT able to edit first and last name fields and must contact ecommerce to change Birth date and Gender fields are required as part of the Secure Flight Program to be Mandated in Nov. 2010 Date of birth is an encrypted field once entered. Quotations indicate this field has been populated, dashes indicate information is still required

  16. The Confirmation E-mails in this field are sent from Compass when a trip is Held or Submitted for Purchase A separate Itinerary / Invoice for final ticketing comes from Travel Leaders. Travelers that require a copy of the ticketed itinerary to be sent to a Travel Planner should enter the planner’s email address in this field.

  17. Profile | Addresses and Phone Numbers Alternate Phone Field is required as it “pushes” the profile information to the Agency If you prefer not to provide a third phone as contact number, duplicate the business or mobile number here. Secondary email provides another field for a 2nd Travel Planner to receive the final itinerary/ invoice. SAVE each Profile page when adding new information

  18. Profile | Payment Cards Credit Cards can be added and saved to the Profile to be used for future transactions. Click “Add payment card” to add a credit card to be used for Airline Transactions and Hotel Guarantees If you prefer Not to save a Payment Card in a profile; the card can be entered at time of booking and then deleted from the profile. (Please refer to slide 67 for this process.)

  19. Profile | Adding a Credit Card Name the card for reference as multiple cards can be added to a profile Add required information marked by an Asterisk

  20. Profile | Default Credit Cards Once Credit Cards are entered the numbers are encrypted. The Compass site is PCI Compliant and Travelers, planners and agents will not see the Actual Card Numbers on File. Change the default for all services to the card on file or NONE. Save your changes.

  21. Profile | Travel Preferences The travel profile created online is also used by our agents. Preferences added to your profile are viewable by the agents. Note default field for AIR search: Travel Leaders recommends to Search by PRICE Air, Hotel and Car Special Requests selected in the profile will be visible by the vendor in all reservations Amenities included in the profile will be given weight in the hotel search.

  22. If a Default Car type is not chosen in the profile, the system will default to Intermediate or Midsize car rates. Rates returned in the search are based on the car size in the profile. “Off” Airport Parking offers users the ability to book Park n Fly and Park N Go locations in the US. Access Airport Parking from the Travel tab Passport information is required in all International airline bookings, please include passport information if you travel overseas, including Canada.

  23. Include any Personal Information you want an Agent to be aware of in the Misc. Remarks: e.g. “Never book connection through Chicago and not early morning flights before 9:00 am” Add your Redress or Known Traveler Number if one has been assigned Always SAVEeach page of the profile!

  24. Profile | Delegate Access Travel Planners can easily Delegate themselves to update profile information or book travel for others. Please note travelers must have an active account in Compass to be accessed. An E-mail is sent to the traveler to notify a user has been granted access to his or her profile A User may delete delegates from this page in their profile. Travelers can Delegate others to book travel for them

Profile | Delegate Access Search for a user by E-mail or Last Name Select the traveler or delegate from the search results On the Home Page the Drop Down box reveals all travelers the user has delegate access to Always log in as ‘Yourself’ and access the traveler you are booking for from this link.

  26. Profile | Emergency Contact Emergency Contact information is not required, but good information for Travel Leaders to have on file.

  27. 0 Profile | Notifications Notifications Serve Multiple Purposes: Trip Itinerary- Add additional email addresses to receive copies of your itineraries; e.g. a home or spouse email. It is not necessary to add your business address or a travel planner address for this notification area. Flight Status Updates- Provides Flight change status updates directly from the Air Carrier beginning three hours prior to scheduled departure time. Receive Status Updates and reminders for all services booked on Compass.

  28. Profile | Notifications Flight Status Updates utilizing “Flight Stats” provide real time updates to all Flights 3hours Prior to Departure Travelers and Travel Planners may enter up to three types of notifications to multiple people

  29. Booking Air, Hotel &Car Reservations

  30. Log in at: https://msumoorhead-travel.reardencommerce.com Your Username and unique Password are created during the Activation process. Travel Leaders recommends using your University email address as your Username. Your Password is unique, created upon activation of your account.

  31. Users can Start a Booking from the ‘Quick Search’ tab on the Home Page, however, Travel Leaders Recommends travelers use the “Travel Tab” when starting a new booking to include more detail in your Search Criteria .

  32. From the Home Page click on the TRAVEL Tab and choose Trip Planner to begin your search The Trip Planner page provides detailed search criteria options to enhance your search for Air, Hotel, and Rental Car

Travel Leaders Manages your unused tickets automatically; the detail here reminds you when an unused ticket is about to expire On the Air Search Page, this information is flagged again to remind you to book the carrier in order to use the ticket Travel | Unused Tickets From the home page use the Travel tab to access Unused Ticket information in the drop down

Book three ways; Round trip, multi-city up to four destinations, and one way Begin the Search by PRICE to ensure comparing the best fares Change the Time Options to match the window of air options desired. Anytime will return flights all day; specific time of Departure or Arrival searches a 4 hr window (2hrs prior and after the requested time). Morning, Afternoon and Evening specify 6 hr window. Additional flight option changes

Travel | Trip Planner To book multiple hotels within one reservation at different destinations, use the link indicated for multi city search The Hotel Search defaults to the arrival airport – you may also choose specific address. To Search for Rental Car options at Off Airport locations, uncheck the box Match my Rental car search… Click Search to begin the booking

  36. Travel | Trip Planner The Hotel Search defaults to the arrival Airport Click Address to change the Search to the City center; add a suburb name, specific address or other city. The search radius is 30 miles.

  37. Departure Flight Page (Numbers refer to next Slide) • 1 - Travel Leaders recommends the Flight Search be set to Search by PRICE. This allows the user to compare the best available fares with the search criteria. Search by SCHEDULE allows the end user to select flights based on the carrier’s schedule but with no reference to price or availability. • 2 - The display defaults to View Results by Segment. This shows all departure options first and once the user selects the flight, the Return Options will be displayed. Users can also see results by Complete Trip from this drop down. This changes the options to both outbound and return flights priced together. • 3 - The Air Matrix allows the user to sort the detailed options and provides a snapshot of the best fares available including Low Cost carriers such as: Southwest, Air Tran, and Jet Blue • 4 - Select flights from the detailed list on the right side of page. • 5 - The Modify area allows the user to change the search criteria from this page. • 6 - The Price of Flights on the “Select your Departure/Return Flight” pages is based on a round trip price including taxes. Price of flights may change depending on the return flight chosen.

  40. Travel | Seat selection Users can Select a Seat by clicking the Seat Map link next to the flight option on the Flight Search page By selecting a seat here and clicking Done, the seat will be confirmed and the search will progress to the Next Step – Choose your Return Flight

Travel | Modify your Air Search • Changes to your Air Search can be made here: • Click Show All to see additional Flight Options not in the original search. • Move the dynamic bar to change the time window for Flights • Include options at Nearby Airports and compare prices by checking the additional boxes

  42. Travel | Select your return flight Select your return flight Once the Outbound flight has been selected, the options for the return flight are displayed. The Return Flight page provides the user the ability to modify options as well before making a Selection.

  43. Travel | Search by Schedule Display This is how the Flight Search Display appears when Searching by Schedule. Matrix shows # of options available without any prices for flights. Price will be returned based on the flights chosen and current availability. Choosing flights by schedule can be convenient when searching for a specific flight; but by choosing a flight by schedule, you do not have the opportunity to compare current prices on other flights.

Travel | Select a Hotel (Numbers Refer to the next Slide) 1 - The Google style map illustrates the hotels located in the surrounding area. 2 - Sort options default to price and either the Airport traveling to or a city or address entered. Other options to sort search results are by Distance, Price and Star Rating. 3 - The State of Minnesota makes available Government rates for hotels. Travel Leaders consortium rates are available, identified by TLG or Travel leaders or ABC Corporate Services. AAA and AARP rates are also available to book if you meet the criteria of these specific rates. 4 - Choose to view photos, Hotel Amenities, Review Rate Details, or compare rates at properties. Users can easily “open” multiple rate displays and Compare Price per night, star ratings, and other amenities. 5 - Narrow your choices or Modify your search from this area including changing check in and check out dates. The original search criteria is displayed here. THERE IS NO FEE TO BOOK HOTELS ONLINE THROUGH THIS WEBSITE

  49. Travel | Select your rate Be sure to read the Rate Details closely to ensure that you are choosing a rate that fulfills your preferences. Once you Select a Rate on this page you have BOOKED that rate Cancellations to this reservation fall under the policies stated in the room/rate details. Be aware of rates that include the word(s), Advance Purchase, no refunds, cancel fee applies, etc.

  50. Travel | Choose a car Change search options from this page. The State of Minnesota has discounted rates with Enterprise and National – thesewill be flagged as preferred and shown at top of the search Additional rental options will be available as well, to be booked only when preferred vendors are sold out Read the Rental Car Info on this page for guidelines when booking a rental car for business.
