  3. General Information What is OGS? • merit-based external scholarship that encourages excellence in graduate studies at the master’s and doctoral levels • awarded for one academic year, which may consist of two or three consecutive terms

  4. Important Changes • Effective September 2012, Ontario Universities are now administering OGS on behalf of the Province of Ontario • Those who withdraw, transfer to part-time status, finish early, or fail to complete the term, will be required to repay the funds received for the incomplete term. • Students returning from a leave are eligible to resume their OGS award upon full-time registration

General Eligibility • Canadian citizen, permanent resident, or international student (hold a student visa) • Plan or continue in an approved graduate program at an Ontario university leading to a Masters’ or PhD degree starting May 2014, Sept 2014, Jan 2015 • enrolled as a full time student for the 2014 – 2015 academic year (must be enrolled a minimum of 14 weeks) • OSAP must be in good standing to hold an OGS

Specific Eligibility, by degree program • For Masters: receive a maximum of 2 OGS awards at the Masters level in ANY YEAR Masters program • For PhD: receive a maximum of 4 OGS awards in ANY YEAR of PhD program • For all students: cannot hold scholarships from NSERC, SSHRC, CIHR, OTS (Ontario Trillium Scholarship) or QEII-GSST at the same time as an OGS. • Lifetime maximum of 6 years of government-funded student awards • restriction involves awards offered by OGS, CIHR, NSERC, SSHRC, OTS and QEII-GSST • received 6 years total of any combination of any of these awards, you will not be able to receive a new OGS

  7. Academic Eligibility Overall average of A- or 80% - NO EXCEPTIONS GPA = 3.7 on a 4.0 scale; 7.0 on a 9.0 scale

  8. Evaluation Criteria • Applicant Plan of Study • Applicant achievements/experience • Applicant characteristics (as outlined in your reference letters and Plan of Study) • 2 References (cannot submit more than this) • Academic merit (min. A-), no exceptions

Important things to remember • Fonts and margins in the online application cannot be changed • Every field must have a response to proceed to the next screen; if the field does not apply, then type in N/A • You can move back and forth to edit your application before “submitting” • You can move back and forth in your application but there is a time out issue; system may revert you back to the beginning where you can choose to “edit” or “delete” your application

Proposed Study – Important Points • Should reflect what program and year you will be in(or wish to be in) as of September 2014 • Option to submit separate OGS applications to more than one Graduate Unit at UofT, if you are • an undergraduate applicant; or • a Masters student applying to more than one Masters or PhD program (remember to indicate level of study) Note: Referees will be required to submit their letters to each Graduate Unit application.

Academic Background • Include all post-secondary institutions attended, including undergraduate; • For current DLSPH students, please include Fall 2013 grades • Transcripts (demo) • Unofficial or student issued copies are permitted; DLSPH prefers scanned copies of official transcripts • Each file size cannot exceed 4MB; will only upload *.pdf • If you have ordered your transcript specifically for OGS and it was sent to DLSPH Grad Office, please come by to pick it up asap • For international students, DLSPH Grad Office can provide certified copies of your transcript from universities outside of Canada

  20. Awards and Financial Aid • This section only applies to OSAP and government awards • You cannot hold an OGS if your OSAP in a poor standing • If you have received any government awards indicated on this page, you will be required to indicate the number of years you have received this

Academic Achievements Section is divided into two parts 1) Scholarship and Awards • Indicate all scholarship, fellowship, prizes and academic awards, starting with the most recent • Please indicate the amount received 2) Research Contributions • List starting with the most recent publications, presentations, posters, or other significant work that was submitted to an external organization

Academic Achievements Group your contributions by category in the following order, listing your most recent contributions first: Refereed contributions: books (where applicable, subdivide according to those that are single authored, co-authored, and edited works), monographs, book chapters, articles in scholarly refereed journals. Other refereed contributions, such as: conference proceedings, papers presented at scholarly meetings or conferences, articles in professional or trade journals, etc. Non-refereed contributions, such as: book reviews, published reviews of your work, papers presented at scholarly meetings or conferences, research reports, policy papers, public lectures, creative works etc. Forthcoming contributions: Forthcoming contributions should be listed if they have been formally accepted for publication. Provide the name of the journal or book publisher and the number of pages.

  24. Academic Achievements • In the left margin, identify refereed publications with an "R". A refereed work is assessed: • in its entirety - not merely an abstract or extract; • before publication; and • by appropriately independent, anonymous, qualified experts. "Independent" in this context means at arm's length from the author • Specify your role in co-authored publications. • For published contributions, provide complete bibliographic details (including co-authors, title, publisher, journal, volume, date of publication, number of pages, etc.) as they appear in the original publication. • For publications in languages other than French or English, provide a translation of the title and the name of the publication.

Plan of Study • Applicants must complete this section themselves • Limit: one page, single spaced • Provide a description of your proposed research project and/or studies for the period during which you are to hold the award • Be as specific as possible while writing your proposal in clear, plain language (avoiding jargon) • You may use your statement of intent from your admission application and customize your plan to study if you are applying to more than one Graduate Unit at UofT.

Plan of Study – SGS Guidelines • For students applying to a thesis stream graduate program: • If you have not yet decided on a specific project, you should still provide a description of a research project that interests you • You are not bound by this project; you may change your research direction or activities during the course of the award • You may use your statement of intent from your admission application • For students applying to a non-thesis based graduate program: • Describe your plan of studies, including proposed course and research work • Outline your rationale behind engaging in graduate level work

Plan of Study – SGS Guidelines (2) • For students currently in a thesis stream graduate program: • Your plan of study will be read by faculty in your graduate unit • State the objectives and hypothesis and provide background information to position your proposed research within the context of the current knowledge in the field • Clearly state the differences between work done for your thesis and the research activities outlined in this proposal • For students currently in a non-thesis based graduate program: • Describe your plan of studies, including proposed course and research work • Outline what stage you are currently at in your studies and what remains to be done before you obtain your degree

Plan of Study – Bibliography • Bibliography and Citations • You may provide a bibliography or citations in addition to the 1 page limit for the Plan of Study • The bibliography may contain the following: • A bibliography for your proposed plan of study/research proposal; and • Bibliographic details for all citations included in your Program of Study; ensure that they are clear and complete to allow reviewers to locate the sources easily

Academic Referees – Important Deadline for submitting Letter of Reference • Student must input the deadline (DLSPH, Jan 31, 2014) • If you are applying to another graduate program within UofT, and the deadline is earlier, you must state this deadline instead and ensure that all components of your application (which will be forwarded to the 1+ graduate programs) are submitted by this earlier date

  35. Academic Referees – Important (2) If you wish to delete a Referee • This is the student’s responsibility to delete the referee • To remove a reference, click on “Delete Referee” • You may then add a new reference or re-enter the referee information Referee wishes to resubmit reference • If your referee would like to make changes, student will need to be deleted this person and add referee again so that they can resubmit their reference

What your Referee needs to know • Prefer institutional email but will accept non-institutional emails (i.e. hotmail, Gmail) • If referee is outside of UofT, s/he may need to set up a BlueAccount • If referee is part of the UofT Community, s/he can use their UTORid and associated password to login to OGS Application System • Additional Comments, free text – 750 words, equivalent to no more than 2 pages, single spaced

What makes a good reference ltr • supports the information in the application • is enthusiastic about YOU • focuses on the skills, past achievements and/or potential contributions • stresses strengths and personal attributes • demonstrates why the applicant is of superior calibre and worthy of a prestigious award

Points the letter should cover Your letter should reflect • Critical thinking/Judgment • Background Preparation • Interest in discovery • Originality • Independence • Perseverance • Organizational skills • Research Ability/Potential • Potential contribution to the field in practice or research

Review OGS Application • Review all components of your application for accuracy and completeness before submitting. • If your academic assessments are incomplete, you will be able to "Save and Return to Home" on the Review page. • Once both assessment reports have been submitted and your application is complete, a "Submit" button will then appear and you will be able to "Submit" your application. • IT IS YOUR RESPONSIBILITY TO ENSURE YOUR REFEREES SUBMIT THEIR LETTERS ON TIME!!!

  41. Confirmation of OGS Application • This page confirms that your application has been submitted to the University of Toronto • It is recommended that you print a copy of your application for your records • Graduate unit(s) that you chose in the Proposed Studies section of the OGS application will have access your application on the system.

Overall Recommendations • 1) Clarity • Above all else, your ideas should be well articulated in a concise manner • Write to the lay person, do not get caught up in jargon • Explain why this is an important topic or field of study • 2) Review, review, review • Review the application components carefully; get 1+ people to read it • Review to avoid spelling and grammatical errors
