  1. I Know It Must Be In There Somewhere: Campus Reporting Enhancements Business Case Summary: This project will provide the analysis, development, training and documentation to support campus specific, unique reporting as well as system wide, standard reporting. The work effort will include some ISRS changes – adding data or creating a standard production report are two examples. It will also include creating additional queries. An important component of the project will be developing tools for campus users including data dictionaries, documentation, help and overall ISRS training. The project will be guided by a robust, cross functional, multi-segment campus advisory group chaired by Iris Gill, MSU Moorhead. The campus staff have identified more than 200 improvements that would streamline campus operations, improve overall system efficiency and data integrity, increase satisfaction with our systems, and provide a foundation for future business intelligence implementation.

  2. Project Summary • ISRS is an immense database of integrated information, and leaders and governing bodies are frustrated when information needed for decision making is not readily available. Few, if any, institutions have enough IR and IT staff to support the growing needs for information. This project will address the problem with training or documentation. • Most campuses have common needs for certain reports. These should be identified and available for everyone. This will help ensure comparability and avoid embarrassing mistakes while leveraging system wide resources. The project will provide both standard reports and queries. • Federal and state laws require reporting extensive data about students. In the absence of standard reports, campuses are left to struggle with understanding the requirements and determining which data should be used to meet the reporting requirement. There are high stakes consequences for mistakes.

  3. Alignment with the 4 Strategic Directions & 8 ITS Goals • Reporting is the tool most commonly used to measure success of programs designed to increase access and opportunity. • The ability to report and assess will drive improvement in programs and services system wide. • For the typical student, faculty member and administrator, ISRS has two faces: the screens and the reports. With the J2EE project, screens are rocketing forward, but users won’t realize the true benefits of our integrated database unless attention is also paid to the output. Retooling an administrative system without attention to reporting would not make sense. • Most analysts agree that Business Intelligence is the future frontier for effective information systems. This project will help provide a foundation on which business intelligence can develop in the future.

  4. Business Case • This project was initiated by campus staff. A cross functional group of dedicated administrators stands ready to help guide the project and assist ITS to define needs and requirements. • Extensive turn-over in campus staff during the prior years has left many campuses with no one who understands the overall ISRS picture, much less the detail needed to support campus-specific reporting. This trend will continue as the baby-boomer retirements begin escalating. The lack of training, documentation and on-screen help is now a critical problem. This project will address the issue by developing and providing training and documentation needed at the end user, IT and IR levels on campus. • “Bad” queries can and do result in performance slow downs, grinding processing almost to a halt. • With the advent of SEVIS and more rigorous federal financial aid reporting requirements, the stakes are raised on accurate reporting. • Unlike most projects on the EIC list, this project offers numerous opportunities for quick wins. Many needs can be quickly and easily addressed – these aren’t complicated, time consuming projects. A cross functional, campus lead advisory group stands ready to guide the project.
