  5. Login to CommonSpot Go to My CommonSpot Select Subsite Administration from the Admin menu. Navigate to and click on your subsite to select it. Click Next.

  6. EVERY subsitewill list the Documents, Images, and Registered URLs that have been added to the subsite. Click on the linked number to manage the Uploaded Documents, Registered URLs, or images in your site. A report will display from which you can upload a new version, edit the metadata or delete the item.

  14. Feature Chooser – Add/Remove Features From Your Home Page Login to CommonSpothttp://hqcomspota2.hq.ds.dodea.edu/login.cfm Work on your homepage. Select the Feature Chooser element tool. Select Data.

  15. Click the Show All Items link to populate the Available Items menu. Drag the desired feature from Available Items to Selected Items. Save

Every school Web Admin page has links to the new calendar management pages and each district Web Admin has links to the district calendar management pages and community calendar management pages (if you have more than one community in your district). • School Year Calendars: Individual calendar events need to be added by the District webmaster at the appropriate level so the entries show up on the school site calendars. • Schools only need to enter events that are specific to their school. First day for students, spring break, etc. should be entered at the community or district level – whichever applies. • The calendars are cascaded within the WCMS. It is very important that you enter events at the appropriate level. Entries will cascade DOWN from whatever point you make the entry. The next slide illustrates the downward cascade. • You can designate events to display on higher level calendars but it isn’t automatic like the downward cascade.   18. Add a Region News Item

  19. Open your site webadmin. Select Manage District or School News Click Add New Region News The Add New Region News dialog will open.

  20. Complete the fields on the News Meta tab. Topics: Select DoDEA in the News. If the news story is about a sporting event also select Sporting Events as a Topic. Title: “Headline” Subtitle: Enter the author and publication. Date: Date the story was originally published. Abstract: No more than 255 characters. Source: Where the item orgiginated. Source URL: Link to external publication (if applicable.) Locality: Region where story originated. The Title and Abstract appear in the District News section of the District homepage. The Title, Substitle, Date, and content of the News Content tab appear in the actual news item.

  21. Select the News Content tab. • Type or copy/paste a portion of the news item. In the Rich Text Editor (Or the entire story content if it isn’t coming from an outside source.)Skip to step 13 if the text did not come from an external source. • (Link to external story) Type the text that will become the link to the full story. (Skip if you are not linking to external source.) • Select the text. • Click on the Link tool. Note: If you copy and paste content into this field you will be prompted with Paste Options. Choose Paste plain if you are copying from anywhere outside CommonSpot.

  22. Select Unregistered URL or Relative Internal URL from the Type list. Paste the story URL into the field that appears below the Type field. Click Save. Select the Images tab.

  23. Note: Images should be cropped to a width of 350 px and optimized for the Web before adding them to the WCMS. Click Select Image. Click Choose if the image has already been added to the WCMS otherwise click New. Click Browse to locate the image on your computer. Double click on the image or select the image file and click Open. Enter a Description of the image. Select Region News from the Category menu. Click Save. Edit the Alternate Image Text to ensure it is descriptive. Click Save.

  24. Enter a Image Caption. Enter a Byline for the image. Repeat to add Thumbnail image and/or additional images. Click Submit.

  28. When you are in edit mode you will see the element tool for each element you have access to edit. If you do not see the element tool for a section, that means the element has been locked by a template and you must edit the content in the template. The following slide explains how to find out what template to edit. Element Tool

  29. Click on Hierarchy in the Templates menu.The Template Hierarchy light box opens to display all the templates associated with the page. Select the first template in the list. Edit the template that opens. If you still don’t have access to the element you want to change, repeat the process until you find the template that controls the element. If you don’t have access to the next template in the list then contact your District or Area webmaster.

  36. Create News Story Page If you do not have external content or an existing page to link a Feature to, you may need to create a new page using the News Story Template for your site.

  37. Login to CommonSpot Go to your subsite administration. Select the Newssubsite. Select the Create New Page link. Select [Your School] Templates from the Category menu. Click Next.

  38. Click the School News Template. Click Next. Enter the page name (Camel Case – no spaces). Enter a Title (this is what will appear at the top of the new page). Enter a Title Bar Caption. Enter a Description (cannot be identical to Title). Select [Your School] Pages as the Category. Change the Confidentiality to Public. Click Next. Click Save when the Custom Properties open.

  39. The new page will open. Click the element tool in the first text element in the page. Select Text. Add your story text and images to the Rich Text Editor. Click Save when you are finished. Add additional elements to the page if necessary. Submit your changes when you are finished.
